Key Responsibilities:
- Answer and manage phone calls, emails, and inquiries from clients, vendors, and employees.
- Schedule appointments, client consultations, and follow-ups.
- Maintain and update client records, contracts, and job schedules.
- Process invoices, payments, and payroll support as needed.
- Order and track supplies, materials, and equipment for landscaping projects.
- Assist with marketing efforts, including social media updates and client outreach.
- Prepare proposals, quotes, and contracts for potential clients.
- Coordinate with field crews to ensure job schedules are maintained efficiently.
- Maintain office organization and ensure all administrative processes run smoothly.
- Assist in tracking expenses, budgeting, and financial reports.
- Enter and maintain warranties for landscaping products and services, ensuring accurate record-keeping and timely submissions.
- Communicate with vendors and manufacturers regarding warranty claims and processes.
- Provide customers with warranty information and support as needed.
- Previous experience in administrative roles, preferably in landscaping, construction, or a similar industry.
- Strong organizational and time-management skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and scheduling software.
- Excellent verbal and written communication skills.
