Schedule: Monday-Friday, 8am – 5pm
What work will you perform?
Landstar is seeking two (2) Executive Assistants to support multiple members of our Executive Leadership team in Jacksonville, FL. In these roles you will perform highly confidential and complex administrative duties while proactively keeping the assigned executive(s) apprised of important items and their impacts. You are a strategic thinker who communicates effectively at all levels. You are comfortable serving as a buffer and acting as a liaison for the assigned executive(s), confidently responding to and handling requests from internal and external parties. If you are a proactive problem-solver with proficiency in creating presentations, conducting analysis, and managing competing priorities we want to speak with you.
Essential Responsibilities:
Responsible for the day-to-day operation of the executive's office
Screens/handles executive phone calls
Manage calendars and schedule appointments for one or more executives
Coordinate and arrange meetings, conferences
Draft and edit correspondence, reports, presentations, and meeting minutes
Code and process invoices for payment via automated system
Conduct research and compile data for various projects
Coordinates travel arrangements and completes expense reports
Perform data entry and file management tasks
Prepare budget spreadsheets
Develop PowerPoint presentations
Answer and screen phone calls, take messages, and respond to inquiries
Proofread documents for accuracy and completeness
Other duties as assigned
Required Minimum Experience and Education:
Bachelor's degree (B. A.) from four-year college or university or 4 years of equivalent experience or some combination of work and education equaling 4 years of experience
One year of executive support experience
Knowledge, Skills, and Abilities:
Ability to maintain confidentiality
Proficient in all Office 365 applications including MS Teams
Ability to prioritize and manage competing priorities
Excellent oral and written communication skills
