About the Role
We’re seeking a highly organized and personable Administrative Assistant to support our growing team. In this key role, you’ll help manage our accounts payable processes, ensure smooth daily operations, and contribute to a workplace culture grounded in collaboration and respect. If you're detail-oriented, confident with a strong work ethic, and care deeply about helping others succeed — you’ll feel right at home here.
Key Responsibilities
- Greet and assist guests and clients at the front office with professionalism and warmth
- Manage incoming phone calls and direct them to the appropriate team members
- Support the Administration Manager in maintaining smooth internal communications
- Handle data entry and filing tasks related to accounts payable
- Perform administrative duties to improve team efficiency
- Assist with contract and subcontract documentation
- Collaborate with the Accounting Manager on company expense entries
- Monitor and manage office supplies and coordinate purchases with the Administration Manager
What We're Looking For
- Experience: 3 years in a similar administrative role
- Positive Attitude: Energetic, approachable, and motivated to support others
- Communication: Excellent written, verbal, and interpersonal skills
- Customer Service: Friendly, responsive, and reliable — a true team player
- Tech Skills: Proficient in Microsoft Excel and the full Microsoft Office Suite
- Attention to Detail: Organized, accurate, and efficient in all tasks
- Professionalism: Trustworthy, professional, and capable of exercising sound judgment
Requirements
- Must be legally authorized to work in the United States
- Ability to pass a criminal background check
