Position: Administrative Assistant of Title III and Sponsored Programs
Department: Executive Vice-President
Reports To: Director of Title III and Sponsored Programs
Classification: Fulltime Non-Exempt
Job Summary: Working under the supervision of the Director of Title III and Sponsored Programs the Administrative Assistant overseas and managing all office procedures and other tasks as assigned.
Duties/Responsibilities:
- Oversee all aspects of general office coordination.
- Maintain office calendar to coordinate workflow and meetings.
- Maintain confidentiality in all aspects of student, staff, and agency information.
- Interact with students, vendors, and visitors.
- Answer telephone and transfer calls to the appropriate staff member/office.
- Perform general clerical duties to include, but not limited to, typing correspondence, copying, faxing, mailing, and filing.
- File and retrieve organizational documents, records, and reports.
- Collect and maintain inventory of office equipment and supplies.
- Sort and distribute incoming correspondence, including faxes and packages.
- Prepare responses to correspondence containing routine inquiries.
- Maintain files on approved expenditure requests consistent with the guidance of Title III Administrator.
- Assist and maintain records for Title III Programs.
- Other duties as assigned by the Title III Administrator.
Qualifications
Required Skills/Abilities:
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Proficient in Microsoft Office Suite or related software.
- Excellent organizational skills and attention to detail.
- Basic understanding of clerical procedures and systems such as recordkeeping and filing.
- Ability to work independently.
Education and Experience:
- Associates degree, bachelor’s degree in related field preferred.
- Three to five years of experience in office administration.
Physical Requirements:
- Prolonged periods sitting at a desk and working on a computer.
- Ability to walk campus or climb stairs when needed.
- Must be able to lift up to 15 pounds less than 1% of the time.
- Some nights and weekends may be required during special events.
