Position Overview:
The Client Experience – Administrative Assistant will be the first point of contact for clients and prospects and will be an integral part of the overall client experience for a portfolio of small business clients, ensure seamless onboarding, and communication with our firm. This role is crucial in establishing and nurturing client relationships. The ability to learn and leverage technology will help you succeed in this role.
Key Responsibilities:
Accounting Support:
· Maintain billing for client services and collection of fees.
· Update our internal QBO file
Administrative Support:
· Main point of contact for client questions.
· Work closely with the CPA firm owner on scheduling meetings and email communications.
· Project management software maintenance.
Client Onboarding and Marketing Support:
· Client contact for initial inquiries about our firm and the services we provide.
· Continued point of contact for client experience and connection to our firm’s software and services.
· Maintain and manage the CRM software (Keap) to track leads and stages in the onboarding process for new clients.
· Maintain client database and CRM software to ensure information is accurate and up to date.
· Coordinate the onboarding process for new clients, ensuring a smooth transition and positive first experience.
· Communicate firm policies, expectations and services clearly to new clients, setting the foundation for long-term success.
Minimum Qualifications (Knowledge, Skills, and Abilities)
- Associate or Bachelor's degree preferred in Business, Marketing or a related field.
- 1 years of experience in an administrative/customer service/office management role within the last 2 years. Experience working at a CPA firm is a huge plus.
- Experience with using software such as QuickBooks Online, Outlook, and Adobe a must. Familiarity with marketing automation and client engagement strategy software is a plus.
- Willingness to adapt and learn about new technologies.
- Strong communication skills, both written and verbal, and organizational and time management skills with excellent attention to detail are a must.
- Ability to work independently, prioritize tasks and meet deadlines in a fast-paced environment.
- Positive, team-oriented mindset and passion for helping others succeed are a must.
