MAINTENANCE/FORESTRY OFFICE ASSISTANT
Department: Maintenance Dept. (70%) Forestry Dept. (30%)
Reports to: Director of Facilities Management and Office Manager
Grade/Wage: Grade 18, $20.00 to $25.00/hour
FLSA Status/Hours: 24 hours per week (1248hrs) Permanent Part Time

Position Summary:
This position provides clerical support to the Maintenance and Forestry and Recreation Departments. This position will perform receptionist and general clerical work under the supervision of the Director of Facilities Management and Office Manager. This individual will need to exercise independent judgment while transacting with the public.
Essential Duties and Responsibilities: To perform this job successfully, an individual must be able to perform each essential function satisfactorily and in a timely manner. The following duties are normal for this position. These are not to be construed as exclusive or all inclusive. Other duties may be required or assigned.
- Assist the Director of Facilities Management with Maintenance tasks as needed.
- Perform secretarial duties, including but not limited to answering telephone calls, preparing and sending invoices, managing accounts receivable, resolving billing discrepancies, and ensuring accurate financial records and or contracts. deliver mail, and order supplies.
- Under the supervision of the Office Manager, assist with voucher entry into ACS, county key/fob paperwork and records, and perform any other tasks as needed.
- Assist in tracking Maintenance Project Expenditures and Employee work hours. Under supervision, enter project time log information into Excel spreadsheet and create project expenditure reports.
- Act as backup to Forestry-Recreation-Parks & Maintenance Office Staff.
- Take photos and provide descriptions of items for the county surplus auction.
- Assisting with all of the Fairgrounds scheduling and events.
- Assist in the preparation of various grant applications and focus energy incentives.
- Issue various permits as needed.
- Assist with the administration of online campground reservation system.
- Assist in various property loss reporting, insurance forms and file claims.
- Maintain and update complete inventory contents of the Maintenance and Forestry departments along with the Fairgrounds.
- Other duties as assigned.

Education and/or Experience;
- High School diploma or GED.
- 2-year Associate Degree is preferred.
- 3 years minimum office experience in similar work.
Knowledge, Skills and Abilities:
- Ability to work with limited daily supervision and make accurate, rapid and independent decisions regarding routing, planning, scheduling and completing office work priorities and duties.
- Excellent organizational skills, a high level of maturity with a strong degree of self-direction and motivation required.
- Excellent written and verbal communication skills are required.
- Ability to get along with people and deal with difficult customers.
- Knowledge of data processing capabilities as they apply to financial record-keeping.
- Ability to keep accurate records and prepare detailed reports.
- Ability to work under pressure in meeting deadlines.
- Ability to understand and carry out complex oral and written instructions.
Technological Skills:
- Ability to operate a computer using Word and Excel proficiently; ability to use and operate other standard office equipment.
