Location: Ozone Park, Queens

Status: Full-time, 9am-5pm (hours may vary)

Salary: $65,000 - $70,000

Objective

The ideal candidate will oversee the day-to-day operations of the shelter, supervising a team of Shift Supervisors, Residential Aides and drivers while working in coordination with the Program Director, Social Services, Maintenance and Security Staff. Duties of the Director of Operations (DPO) include instituting policies and procedures, training supervisors and administrators, maintaining a staff schedule, giving performance reviews, and motivating staff to meet their goals. The DPO is also responsible for upholding a safe work environment.

Position Type

This is a full-time position with day and some evening hours. The exact schedule will be determined by the needs of the shelter. Lantern staff may be asked to alter their work schedule depending on the operational needs of the site.

This position regularly requires availability outside of the standard workday, and as such must be ready and available to direct and support staff either by phone or in person if needed during the evenings, weekends and holidays.

Supervisory Responsibility

  • Oversees the Shift Supervisors, Driver(s) and the Residential Aides
  • Manages the shelter in the absence of the Shelter Director and the Assistant Director.

Essential Functions

  • Oversee all shelter operational tasks including access control and bed signing procedures, supply issuance, meal rosters, property storage, locker inspections, daily dorm inspections, facility logbook, incident submission and follow up, etc.
  • Ensure shelter compliance with the Callahan Consent Decree and DHS shelter operational requirements.
  • Supervise a team of Shift Supervisors and Residential Aides to ensure the safe and efficient provision of services to all clients.
  • Identify and delegate tasks while maintaining staff accountability.
  • Oversee, coordinate and document all contracted shelter services including but not limited to property management, maintenance, security, laundry, and food service providers.
  • Oversee the ordering of all operations and building related equipment and supplies, as well as inventory and assessment of supplies on site.
  • Ensure all clients have timely access to client services (meals, laundry, toiletries, etc.)
  • Ensure food service meets all regulations for food safety and adheres to the New York City Food standards.
  • Ensure that DHS food related reports are completed and related information is entered daily into BCS
  • Ensure timeliness and accuracy of vacancy reporting in CARES.
  • Supervise staff in packing, storing and tracking of client belongings in absence of client.
  • Conduct and document supervision of all direct reports.
  • Ensure staff meets minimum certification and/or licensure requirements.
  • Maintain an understanding of the strengths and challenges of subordinates and develop a working plan as to how to address those challenges.
  • Train and lead direct reports in Safe Crisis Management techniques and interventions.
  • Review and track all incident reports, including the review of all corresponding incident notes.
  • Review and document follow up of all operational complaints/grievances in a timely manner and document outcomes.
  • Complete audit of Fire Safety record
  • Update and manage the site's critical binder for compliance with DHS policies and procedures.
  • Track visits and all services rendered by vendors/contractors.
  • Conduct daily meetings with on- site security staff to provide updates and to share pertinent site information.
  • Ensure completion of a monthly inventory of client supplies.
  • Maintain a strong collaborative relationship with all providers affiliated with the shelter.
  • Maintain working knowledge of all technological systems utilized by the shelter.
  • Conduct regular building inspections in collaboration with the Building Superintendent to identify deficiencies, needed repairs, and environmental concerns including inspection of building mechanics (boiler, sprinkler, elevator, oil pump, etc.).
  • Monitor all building violations and take all necessary steps to ensure timely responses and documentation of efforts for remediation.
  • Track all building repairs to ensure quality and timeliness.
  • Oversee fleet management, maintaining the van schedule; conduct vehicle inspections weekly, ensure vehicle maintenance and proper documentation of vehicle use.
  • Responsible for ensuring appropriate levels of staff coverage at all times including during emergencies, severe weather and disaster situations.

Required Education And Experience

  • High School Diploma required, Bachelor’s degree is preferred.
  • Bilingual, multi-lingual skills a plus!
  • Minimum 8 years of Shelter Operations experience with HS diploma 1 supervisory experience working in the field of social service, housing, Safe Haven, or Shelter. OR Minimum 5 years of Shelter Operations experience with Bachelors 1 year supervisory experience in the field of social service, housing, Safe Haven, or Shelter.
  • Must take initiative, highly collaborative and a team player, work well under pressure, effective written and spoken communication skills, takes initiative, delegates with integrity, works both independently and as part of a team to complete complex projects in a fast-paced environment.

Preferred Experience

  • Knowledge of HIV/AIDS, mental health, substance use, asylee populations and/or chronically homeless population.

Work Environment

  • This job operates in a homeless shelter and works with a population who may experience mental illness, substance use, disability, HIV/AIDS, and other chronic illnesses.

Physical Demands

While performing the duties of this job, the employee is regularly required to stand, walk, sit, stoop, climb stairs and/ or kneel. They must also use hands to type, handle, or feel. The employee is frequently required to talk or hear and must occasionally lift and/or move up to 10 pounds.
