Job Summary :

The Catering and Conference Services Coordinator manages and supports all aspects of catering and event services for conferences, meetings, and other events. This includes coordinating food and beverage options, managing venue space, overseeing setup and breakdown, and ensuring seamless execution while maintaining client satisfaction and budget adherence.

Requirements

Key Responsibilities :

  • Client Consultation : Liaison between clients and property team to understand their event needs, dietary restrictions, budget, and desired menu options, providing customized catering proposals.
  • Venue Coordination : Collaborate with venue management to secure event spaces, manage room layouts, and coordinate audiovisual equipment needs.
  • Menu Planning : Develop catering menus in collaboration with chefs, considering dietary restrictions, presentation, and budget constraints.
  • Vendor Management : Source and negotiate with catering vendors, including beverage providers, linen suppliers, and entertainment options.
  • Budgeting and Tracking : Assist the team with creating detailed event budgets, monitoring expenses, and ensuring cost-effective execution.
  • Staff Collaboration : Collaborate with catering staff, including servers, bartenders, and kitchen personnel, ensuring professional service standards.
  • Logistics Coordination : Coordinate and assist the team with event logistics including setup, breakdown, food delivery, and table arrangements.
  • Quality Control : Observe, track, and monitor food quality, presentation, and service delivery throughout the event.
  • Post-Event Follow-Up : Under the direction of the Area Director of Catering and Conference Services, gather client feedback, address concerns, and prepare reports to ensure the highest guest satisfaction.
  • Daily and Weekly Reporting : Proactively executes daily and weekly event schedules, banquet event orders, and conference resumes to ensure successful internal communication from the property level.

  • Problem-solving : Identify and resolve issues quickly and efficiently during event execution.
  • Financial Acumen : Understand and manage event budgets effectively.
  • Education and Experience :

  • A bachelor's degree in hospitality management, event planning, or a related field is preferred.
  • Proven experience in catering and event coordination, ideally within a conference center or hotel setting.
  • Proficiency in event management software, Delphi, Excel, and Microsoft Office.
