Salary Range:    $18.00 - $23.00 Hourly

Description

Primary Function: Under the direction of the Director of Human Resources, the temporary part-time Office Support will perform a variety of specialized duties in support of payroll and human resources functions. The temporary part-time Office Support will carry out responsibilities in the following areas, including but not limited to employee relations, compliance reporting, records management, payroll and benefits administration, recruitment, onboarding, and transitions.

 

Duties and Responsibilities:

School Mission:

  • Support operational systems, processes, and policies in support of the organization’s mission and vision
  • Work with senior human resources staff, school leaders, and other site-based staff to develop, implement, and maintain strategic operations and practices, ensure consistency, and share best practices across all campuses.

 

Compliance

  • Ensure that Larchmont Schools is in compliance with federal, state, and local employment laws and regulations.
  • Ensure compliance with established company policies and procedures and incorporate procedural changes when necessary.
  • Coordinate the gathering of information and preparation of various compliance reports, employment verification requests, salary and benefits surveys, and other requests for information.
  • Maintain confidentiality in all aspects of employee and student information.
  • Assist with coordinating required employee training
  • Organize and maintain employee files, employee database system, compliance binders & trackers, and complete routine compliance audits.

 

Payroll Processing

  • Process semi-monthly payroll for all employees, including timecard and wage review, wage and deduction computation, and data entry.
  • Work with back-office providers to ensure proper payroll coding and budget tracking.
  • Independently perform and make complex payroll calculations quickly and accurately.
  • Audit timecard submissions and follow up/resolve missing data, discrepancies, and incorrect codes.
  • Verify time-off requests, compute leave entitlement, and maintain leave/vacation records.
  • Audit payroll data such as pay changes, garnishments, and deductions and verify necessary changes with the payroll provider.
  • Respond to inquiries regarding payroll and/or assist in problem resolution.
  • Maintain and organize payroll records
  • Train and support supervisors and site staff on compliance with internal payroll controls.

 

Employee Relations & Benefits Administration

  • Provide day-to-day support for employees with inquiries regarding pay and employment questions.
  • Support health & welfare programs, including but not limited to assisting with open enrollment, mid-year qualifying plan changes, plan enrollment audits, organizing enrollment forms, and maintaining benefits census. 
  • Assist in coordinating all leaves of absence, including FMLA, maternity, disability, and unpaid leave.
  • Assist in coordinating and accurately tracking vacation and sick leave benefits

 

Recruitment, On-boarding, Transitions

  • Manage all aspects of the employment life cycle, including recruitment, selection, hiring/onboarding, performance management/professional development, labor law compliance, and transitions.
  • Manage recruitment activities; maintain recruiting systems; source and screen candidate applications; follow up with candidates and support supervisors through the hiring process. 

 

Communications

  • Assist in communicating organizational policies and procedures; promote understanding within the organization and across school operations.
  • Effectively present information and respond to questions from all stakeholders.
  • Participate professionally in scheduled meetings and trainings as needed.

 

 Other Functions:

  • Work with senior HR staff to support any HR projects/initiatives
  • Support other departments as assigned
  • Maintain regular attendance, dependability, and punctuality
  • Travel to school sites as necessary
  • Perform other duties as required and assigned

 

Knowledge ofLarchmont Schools' mission and model; Accounting principles and procedures, fiscal management and best practices in school operations (specifically in human resources functions); Principles and practices of organization, planning, and records management; Professional skills for collaboration and teamwork with other education professionals and diverse stakeholders; Microsoft Office Suite (particularly, advanced level Excel)

 

Ability to: Establish and maintain cooperative relationships with all stakeholders; Communicate ideas and directives clearly and effectively in both written and verbal form; Manage multi-step projects involving multiple stakeholders; Prepare financial and statistical documents and reports; analyze data, draw logical conclusions and prepare comprehensive reports; deal effectively and graciously with situations requiring tact and good judgment; exercise patience, common sense, and good humor to thrive within the pressures, competing priorities and demands of position; Work on multiple tasks and prioritize appropriately; Take direction and accept constructive criticism; Recognize areas of concern and critically think through problems and propose or recommend appropriate solutions; Ability to coordinate multiple tasks simultaneously with minimal supervision and work efficiently under pressure to meet deadlines; Understand and carry out directions in an independent and problem solving manner, work autonomously and be self-directed while also able to work collaboratively, and/or under the direction of senior staff

 

Physical Requirements: Continual speaking; Frequent sitting, standing or walking much of the time with some reaching, bending, grasping and pinching, stooping, squatting and twisting; Manual dexterity to use office equipment; Lifting of office supplies and other work-related materials occasionally involved. Weight of materials will vary, but generally be of less than fifty pounds. Continuous operation of a computer keyboard and mouse; Travel to/from Network Support Office, school buildings, classrooms and grounds.

 

Environment: Uneven surfaces, noise, quick work pace; Frequent use of computer screen; Occasionally involves working outdoors and exposure to inclement weather; Infrequently involves exposure to traffic congestion; May rarely involve exposure to biohazardous waste

Qualifications


Minimum Qualifications:

(*) Bachelor’s degree (preferred)

(*) or one to two years of Charter School office, school operations or Human Resources experience and/or training

(*) Familiarity working with school-aged children (preferred)

(*) TB Test clearance & DOJ finger printing clearance

(*) A demonstrated commitment to strong customer service, high professional ethical standards and a diverse workplace

 

Skills and Abilities:

  • Strong working knowledge of accounting principles and procedures
  • Excellent computer skills and proficiency in Microsoft suite (particularly, advanced level Excel) and ability to use Excel for data management, analysis and generating statistical reports
  • Strong communication (written and verbal) and interpersonal skills
  • Excellent writing and analytical skills
  • Very strong attention to detail and meticulous follow-through
  • Highly organized, and resourceful
  • Strong work ethic, accountability, and ownership of work
  • A demonstrated commitment to high professional ethical standards and a diverse workplace
  • Demonstrates good judgment and is approachable and professional in attitude and demeanor.
  • Regular attendance, dependability, and punctuality are essential to the successful performance of this position
