POSITION SUMMARY:
The Human Resources and Scheduler Manager is responsible for overseeing the full scope of HR functions and managing scheduling for Lares Home Care. This role ensures compliance with Federal, State, and local laws, handles recruitment, onboarding, and employee relations, while also coordinating client and caregiver scheduling. The manager acts as the point of contact for all HR and scheduling needs, promoting a positive work environment and ensuring seamless operational efficiency. Given the combined responsibilities, this position is classified as FLSA exempt due to the management and decision-making functions it requires.
DUTIES AND RESPONSIBILITIES:
Human Resources Responsibilities:
- Compliance: Ensure the organization complies with all applicable employment laws, including FLSA, FMLA, EEO, ADA, and other HR-related regulations.
- Recruitment & Onboarding: Lead recruitment efforts, including screening, interviewing, and attending job fairs. Manage onboarding processes, including documentation such as W-4, I-9, medical exams, and credential verification.
- Employee Relations: Address employee concerns such as discrimination, harassment, workplace accommodations, and grievances.
- Records Management: Maintain all employee records, ensuring confidentiality and accuracy. Track employee certifications, performance reviews, and status changes.
- Disciplinary Actions: Collaborate with Operations Manager on disciplinary actions, terminations, and unemployment benefits management.
- Recognition Programs: Implement employee recognition programs such as Caregiver of the Quarter, birthdays, etc.
- Benefits Coordination: Manage benefits programs, including 401k, workers’ compensation, and employee assistance programs.
- HRIS Management: Use CLEARCARE/PAYCHEX systems to track employee information and generate reports for leadership.
Scheduling Responsibilities:
- Scheduling Management: Develop and maintain schedules for caregivers and clients, ensuring proper staffing based on client needs.
- Primary Contact: Serve as the main point of contact for caregivers and clients regarding scheduling issues, updates, and changes.
- Staffing Coverage: Arrange coverage for caregivers on leave (sick, vacation, etc.) and ensure continuity of care for clients.
- Database Management: Enter and maintain up-to-date information on client services, caregiver schedules, and client care plans in the scheduling software.
- Credential Monitoring: Ensure caregivers maintain up-to-date credentials and certifications. Report expired licenses and delinquent documents to supervisors.
- Client Relations: Communicate effectively with clients, families, and other stakeholders regarding schedules and care plans.
PROFESSIONAL REQUIREMENTS:

- Communication: Effectively communicate administrative directives and the organization’s mission, ethics, and goals to staff.
REGULATORY REQUIREMENTS:
- Education: Bachelor’s degree in human resources, Business Administration, or a related field preferred.
- Experience: Minimum of 1 year of HR management experience, including recruitment and compliance. Previous experience in healthcare scheduling is preferred.
- Technical Skills: Proficient in Microsoft Office (Word, Excel), HRIS systems, and scheduling software.
- Knowledge: Strong understanding of HR laws, medical terminology, and scheduling best practices.
SKILLS:
- Leadership & Management: Strong leadership and organizational skills, with the ability to manage HR and scheduling operations concurrently.
- Problem-Solving: Ability to quickly resolve employee concerns and scheduling conflicts.
- Communication: Excellent verbal and written communication skills, capable of delivering information clearly to all stakeholders.
- Attention to Detail: Ability to handle multiple tasks, ensuring accuracy in scheduling and HR record-keeping.
QUALIFICATION REQUIREMENTS:
- Language Skills: Fluent in English, with the ability to communicate effectively in writing and speech. Capable of presenting information to small groups or individual stakeholders.
- Reasoning Ability: Strong problem-solving skills, capable of interpreting a variety of instructions in written, oral, diagram, or schedule form.

- This position is eligible for a hybrid work arrangement, allowing the employee to work from home after a probationary period of 6 months, provided all job responsibilities are met and the employee maintains consistent communication with their team during designated work hours. This is subject to change by discretion of upper management.
