As a Legal Office Scheduling Coordinator, you will be responsible for managing the firm’s appointment calendar, coordinating meetings, hearings, depositions, and mediations and ensuring that all legal deadlines and client appointments are properly scheduled and adhered to. You will collaborate with attorneys, paralegals, and other staff to ensure smooth operations and seamless communication.

Key Responsibilities :

  • Calendar Management : Coordinate and maintain the attorneys’ schedules, ensuring that all appointments, meetings, and court dates are scheduled, confirmed, and properly documented.
  • Client Liaison : Communicate with clients to schedule consultations, interviews, and meetings, while ensuring their needs are met and expectations are managed.
  • Deadline Tracking : Assist in tracking and managing critical deadlines for legal filings, client appointments, and court appearances.
  • Internal Communication : Serve as a point of contact for the firm’s legal team, ensuring that all stakeholders are informed of upcoming events, changes, or cancellations.
  • Office Coordination : Work closely with office staff to ensure smooth operations, including booking meeting rooms, preparing necessary materials, and coordinating virtual meeting setups.
  • Problem-Solving : Handle scheduling conflicts and adjust appointments as necessary, while maintaining a professional and positive demeanor.
  • Record Keeping : Maintain accurate records of appointments, meetings, and communications for easy access and reference.

Qualifications :

  • High school diploma or equivalent; associate’s degree or higher preferred.
  • 2 years of experience in a scheduling, administrative, or legal assistant role (experience in a law firm preferred).
  • Exceptional organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and familiarity with legal management software (i.e., Clio, MyCase) a plus.
  • A professional and courteous demeanor with clients and colleagues.
  • Strong problem-solving skills and a positive, team-oriented attitude.
