Position Description

Our associates directly impact the client experience and are vital to the success of our organization. In this role, you will be a member of a dynamic team in a collaborative, client-focused environment utilizing your exceptional organizational, communication, and problem-solving skills. The associate supports the advisors in servicing the needs of our clients. Our ideal candidate thrives in a fast-paced environment, has a willingness to learn, and wants to be challenged.

The associate is responsible for extensively supporting the financial advisor team and will help manage a growing financial planning practice. The associate must perform general office and administrative support functions including communicating with clients and various business contacts; scheduling client meetings; updating and maintaining client paperwork; overseeing the use of client management system (CRM); and researching and resolving service issues.

Specific Responsibilities of the Position

  • Perform general administrative and support functions for the office including answering telephone calls, greeting clients, scheduling appointments, managing the advisors' calendar, preparing and documenting correspondence, running reports, preparing documents for client meetings, making photocopies, faxing information, data entry, and maintaining and updating files.
  • Answer telephone and email inquiries from clients. Research and resolve service problems by contacting sponsor or third party companies to identify and correct errors as needed. Documenting client’s requests and updating their client records/folders for each request or change.
  • Prepare client paperwork and electronic folder prior to scheduled appointments. Confirm records of accounts, client information and documentation is up to date. Research third party/sponsor company information including summaries and statements from third party/sponsor websites. Review clients’ information within CRM. Notify Advisor of any recent or upcoming events as pertains to the client.
  • Organize, review for completion, process, document, and maintain all client paperwork. Ensure timely submission to respective third party sponsor. Utilize Internet-based technology to follow up on all submitted requests and verify for accuracy.
  • Handle routine and complex matters for clients’ accounts including but not limited to processing name/address changes, account applications, money movement, bank authorizations, NiGOs, questions regarding client statements, electronic access to accounts, and client requests.
  • Update and maintain the client management system, including record keeping of conversations, task related processes and meetings. Utilize functions within the client management system to manage time and priorities with regard to client status and complete tasks assigned in a timely manner.
  • Handle ordering, tracking and mailing birthday/holiday cards.
  • Handle unsolicited calls from prospects to schedule appointments or refer to Representative(s).
  • Assist with seminars or client appreciation events.
  • Help ensure office meets compliance requirements.
  • Record all transactions on appropriate logs and blotters.
  • Set up client files correctly and obtain necessary information.
  • Document and update processes and procedures as needed. Contribute to office-wide policies, and comply with new requests or changes to established policies.
  • Prepare hypothetical illustrations for prospective or current clients as directed by Advisor.
  • Assist with other duties and projects as assigned.
  • Identify opportunities to increase office productivity and efficiency

Required Knowledge, Skills and Abilities

  • Knowledge of and proficiency with Microsoft Office, client relation management software (CRM), as well as operating various office equipment including personal computer, fax machine, copier, etc.
  • Effective communication with clients and various business contacts in a courteous and professional manner, proficient written correspondence.
  • Work independently under direction of advisor, as well as collaborate as needed on office projects.
  • Capability to research and resolve problems independently, or solicit help from others when needed
  • Ability to maintain confidentiality
  • Capability to organize, prioritize and manage multiple tasks
  • Aptitude to work under pressure and meet deadlines
  • Skills to pay strong attention to detail and review forms for accuracy and completeness
  • Ability to take complete and accurate notes
  • Ability to be at work on a regular and predictable basis
  • Perform numerical calculations

Education and Experience

  • Minimum of Bachelor's degree and 5 years experience in administrative/executive support roles.
  • Financial services experience strongly preferred

Physical and Mental Demands

Physical Demands: While performing the duties of the position, the associate is regularly required to sit for long periods; stand; talk and hear both in person and by telephone; walk, climb, stoop or bend and lift up to twenty five pounds.

Mental Demands: While performing his/her regular duties, the associate is required to work on multiple concurrent tasks with constant interruptions; read and interpret documents and information; use oral and communication skills; interact with the general public, clients and others encountered in the course of work.
