Position Overview
The Front Desk Operations Specialist plays a vital role in providing exceptional service to clients and visitors while ensuring smooth administrative operations. This role requires professionalism, a strong sense of organization, and the ability to work effectively in a fast-paced environment.
Key Responsibilities
- Client Interaction: Greet clients and visitors with professionalism and warmth. Answer and respond to phone calls, managing and directing them effectively.
- Office Administration: Manage office logistics, including mail handling, deliveries, and maintaining supplies, while ensuring a professional and organized environment.
- Data Management and Renewal Support: Maintain and update client records in Applied EPIC (our Customer Relationship Software), supporting renewal processes with attention to detail and accuracy.
- Daily Operations: Manage and refine the daily dissemination of information, ensuring the office is organized, prepared, and operating efficiently.
- Team Support: Provide administrative assistance to team members, contributing to a cohesive and efficient workflow.
Qualifications
- Relevant client service experience in a professional setting.
- Proficiency in Microsoft Office; ability to quickly learn new systems (experience with Applied EPIC is a plus).
- Highly organized with strong attention to detail.
- Exceptional communication skills, both verbal and written.
- A customer-focused mindset with the ability to deescalate situations and problem-solve effectively.
- Availability to work full-time hours, Monday through Friday, 8:30 AM to 5 PM.
Preferred Skills
- A proactive and driven attitude, eager to learn and grow in a dynamic environment.
- Strong interpersonal skills, including the ability to assess situations and respond appropriately.
- Familiarity with P&C Insurance and Applied EPIC
