Summary:
The Intake Specialist plays a crucial role in the Latino Community Center (LCC) Team. This position serves as the entry point to the center’s programs, the LCC community, and its engagements. The person in this role will be responsible for managing and addressing daily demands from users, programs, and countywide partners. The primary responsibility of the Intake Specialist is to conduct user screenings and assess the best way to engage with them. Specific duties include enrolling users in center programs, providing tailored responses to users' unique inquiries, and, when necessary, referring users and the general public to countywide networks for further assistance.
Given the importance of databases at LCC, this position also involves maintaining and updating several of them. A solution-oriented mindset and close collaboration with the rest of the staff and the program coordinator are essential. The position is predominantly sedentary, with occasional active moments primarily focused on collaboration with other programs.
Essential Duties and Responsibilities:
- Complete front-office work, including answering phones, returning calls, welcoming families to the Center, and other duties associated with attending to immediate family needs
- Know welfare benefits, including the application process, selection criteria, required documentation, and deadlines
- Assess whether clients meet LCC program criteria and determine if their inquiries fall within the scope of work of the LCC or countywide networks
- Schedule and complete initial screenings that result in client enrollments.
- Complete and maintain databases, including those managed by DHS.
- Ensure timely updates of both external and internal databases.
- Evaluate individuals’ eligibility for referral to external resources.
- Connect families with external resources and programs when criteria are met.
- Provide guidance and useful information to clients in response to inquiries.
- Provide feedback to the coordinator and program manager regarding situations that may require institutional responses beyond the unit’s capacity.
- Comply with all position requirements.
- Manage the Diaper Bank, Hello Baby program, and provide information about the Allegheny Food Network.
- Adhere to all HIPAA guidelines to protect client confidentiality, as well as LCC policies and procedures.

Competencies (Knowledge, Skills, and Abilities):
- Customer Service Experience
- Proficiency in English and Spanish (both written and spoken).
- Portuguese is a plus.
- Empathy toward family needs.
- Proficiency in using online platforms.
- Proficiency in Microsoft Excel.

In person
- Tuesday, Wednesday, and Friday: 11:00 AM to 3:00 PM
- Thursday: 12:00 PM to 8:00 PM
- One Saturday a month: 10-2
Education, Certification(s), and/or License(s) Required:
- Minimum of two (2) years of experience directly working with the Latino Community in any capacity preferred
- Previous experience working in customer service, intakes, social services or mental health setting is preferred.
- Act 33/34 and FBI Clearances.
- Complete Recognizing and Reporting Child Abuse Mandated and Permissive Reporting in Pennsylvania required.
Other Requirements:
- Must possess excellent computer, organizational, and data management skills.
- Must be bilingual in Spanish and English and culturally sensitive to the needs of the Latino community. Portuguese is a plus.
