Operational Responsibilities
- Reviews and records all incoming/outgoing documentation for each shipment
- Identifies errors/omissions and resolves with relevant parties
- Works with the imaging system ensuring documents are uploaded, correctly labeled, and made available to internal/external parties
- Receives, records and audits carrier arrival notices (A/N); most importantly routing, pricing and shipper/consignee naming
- Create file numbers and sends out loading confirmation and revisions if necessary
- Present files to import traffic team
- Update systems with document related dates (ex. OBL received, Telex)
- Review and manage the departments public mailbox and ensure documents are directed as necessary
- Acts as the POC for all customer communications pertaining to shipping and commercial documents
- Issue loading confirmations and file numbers is handled by the Booking Operations
- Issues insurance certificates
- Strong geographical awareness and experience routing international and domestic cargo
- Understanding of international transportation pricing practices and associated administration
- Strong written and verbal communication skills, including the ability to interpret foreign language to English translation
- Understanding of industry used protocols, laws, and terminology
- Strong accounting skills and a proven ability to understand how money is managed between overseas agents, ocean carriers, terminals, drayage companies and clients
- Experience working in a fast paced, team oriented, deadline driven department
- Problem solving experience and confidence to challenge status quo
- Computer literacy and strong organizational, interpersonal, and presentation skills
