Position Overview:
We are seeking a dynamic and highly organized Inside Sales & Office Coordinator to join our team. This role is a blend of sales support, customer service, office coordination, and logistics management. The ideal candidate will be the central hub for inbound customer inquiries, sales support, office operations, and clerical tasks.
This position requires strong multitasking abilities, attention to detail, and excellent communication skills to support our sales team, process customer requests, manage logistics, and assist with accounting-related support work.
Key Responsibilities:
Sales & Customer Support:
- Handle inbound phone calls and email inquiries from customers, providing information about products, pricing, and availability.
- Generate quotes and process sales orders in coordination with the sales team.
- Support sales representatives in the field by preparing necessary materials, tracking orders, and providing product information.
- Assist in customer relationship management by following up on quotes and inquiries.
- Input daily Sales Orders from customers. Works closely with Production Manager and Sales team to ensure all components are available.
- Responds to requests from customers for information.
- Works Closely with the sales team to update the CRM system and qualify leads.
Office & Administrative Coordination:
- Manage general office operations, ensuring supplies, documents, and resources are well organized and available.
- Provide clerical support for accounting, including processing payments, invoicing, and filing financial records.
- Coordinate office communications and assist with documentation and data entry.
Shipping & Logistics Management:
- Oversee shipping and logistics for customer orders, ensuring timely and accurate delivery.
- Work closely with carriers to track shipments, resolve delays, and manage shipping-related inquiries.
- Handle return merchandise authorizations (RMAs) and coordinate service schedules with the appropriate departments.
Product & Service Coordination:
- Assist in product support by coordinating service schedules, ensuring RMAs are processed efficiently.
- Maintain service logs and coordinate with technicians.
- Update customers with estimates and progress reports.
Qualifications & Skills:
- Previous experience in inside sales, office administration, or customer service.
- Strong organizational and multitasking abilities.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office (Excel, Word, Outlook) and CRM software.
- Basic understanding of accounting processes, including invoicing and payment handling.
- Ability to handle logistics and coordinate shipments efficiently.
- Problem-solving mindset with attention to detail and follow-through.
- Quickbooks, Accounting, or MRP Software knowledge
