Legal Assistant / Paralegal Position Overview:
We are seeking a reliable and detail-oriented Paralegal/Legal Assistant to provide comprehensive legal support to our attorneys and legal team. The ideal candidate will assist in drafting legal documentation, organizing files, and preparing for trials and real estate transactions. The role requires strong organizational skills, the ability to manage multiple tasks simultaneously, and a deep understanding of legal documentation.
Key Responsibilities:
Drafting Legal Documents:
- Correspondence
- IRS forms and Offers in Compromise documents
- NYS forms and Offers in Compromise documents
- Various governmental agency forms
- Court documents, including petitions, motions, and discovery requests (includes Tables of Authorities, Tables of Contents and Bates numbering)
- Organizing documentation for audits
- Trial preparation
Real Estate Documentation:
- Drafting contracts and riders
- Preparing ACRIS documentation and transfer documents
- Closing statements and net adjustments
General Administrative Duties:
- Answering phones and responding to client inquiries
- Office filing, scanning and organizing files for storage
- Ordering office supplies
- Arranging meetings via Zoom or in person
- General office organization and clerical duties
Qualifications:
- Associate’s degree in paralegal studies or Paralegal Certificate, Legal Assistant Program, or related field.
- Proven experience as a Legal Assistant, Paralegal, or similar role in a law firm or legal department.
- Strong knowledge of legal terminology, procedures, and document formatting.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and legal management software.
- Excellent organizational and multitasking skills, with the ability to prioritize tasks effectively.
- Strong written and verbal communication skills.
- High level of attention to detail and accuracy.
- Ability to work independently as well as part of a team.
- Professional demeanor and ability to manage confidential information with discretion.
- Knowledge of court rules and procedures is a plus.
- Knowledge of QuickBooks is a plus.
