Key Responsibilities:
- Foster a collaborative atmosphere by maintaining a consistent physical presence, optimizing assignments, and supporting peers.
- Facilitate client communications and coordinate meetings, serving as the central point of contact for stakeholders.
- Oversee administrative functions, including finance and billing tasks, time and expense entries, and maintaining client presentations.
- Draft, format, and proofread legal documents such as pleadings, motions, subpoenas, discovery requests, TOAs/TOCs, and correspondence, ensuring compliance with court standards.
- Organize and maintain case files and client documents (both electronic and physical).
- Track deadlines and court dates, ensuring timely and accurate filings.
- Assist with the discovery process, manage e-Discovery projects, and coordinate with third-party vendors.
- Support client billing processes, including time entry, expense reporting, and audit preparation.
- Manage calendars, schedule appointments, arrange travel, and track deadlines.
- Willingness to work overtime when needed.
Required Skills and Proficiencies:
- Advanced proficiency in e-filing for State and Federal courts and familiarity with federal, state, and local court rules.
- Proficiency in legal software, including Intapp Time, Chrome River, and iManage.
- Advanced skills in MS Office Suite (Word, Outlook, Excel, and PowerPoint).
- Strong organizational and multitasking abilities with exceptional attention to detail.
- Excellent communication skills and the ability to work independently or within a team.
Qualifications:
- Minimum of 6 years of experience as a litigation legal secretary or in a litigation practice group.
- Associate’s or Bachelor’s degree (preferred).
- Notary certification (preferred).
