Responsibilities:
· Warmly welcome and greet clients, visitors, and staff as they arrive at the office.
· Answer and manage incoming calls, directing them to the appropriate departments or personnel promptly.
· Provide accurate information about the services offered by the family law office, including general inquiries and basic legal information.
· Schedule appointments, consultations, and meetings, ensuring efficient management of the calendar for attorneys and staff.
· Maintain a clean and organized front office area, including keeping brochures and relevant legal resources readily available for clients.
· Handle client intake processes, including gathering initial information, documentation, and completing necessary forms.
· Assist in processing and routing incoming and outgoing mail, and deliveries.
· Collaborate with other administrative staff to ensure seamless office operations and support overall workflow.
· Maintain confidentiality and security of sensitive client information and documents.
· Handle billing inquiries and process payments accurately, working closely with the finance department.
· Provide administrative support to legal professionals as needed, such as preparing legal documents, scanning, photocopying, and filing.
· Act as a liaison between clients and attorneys, ensuring messages are relayed efficiently and accurately.
· Follow up with clients to gather feedback on their experience and assist in improving client satisfaction.
· Monitor and manage the office's general email inbox, responding to inquiries and forwarding messages to relevant team members.
· Assist in the coordination of firm events, seminars, and marketing initiatives as required.
· Maintain knowledge of current family law practices and procedures to assist clients effectively.
· Display professionalism and empathy when handling sensitive and emotionally charged situations.
Qualifications:
· High school diploma or equivalent; additional certification or education in office administration is a plus.
· Proven experience as a receptionist or front office representative, preferably in a legal setting or related professional environment.
· Excellent verbal and written communication skills, with a friendly and approachable demeanor.
· Strong organizational and time-management abilities to handle multiple tasks efficiently.
