Position Overview:
As an Office Assistant, you will be responsible for supporting the day-to-day administrative operations of the firm. This position requires a detail-oriented and proactive individual who can handle multiple tasks while maintaining a high level of accuracy and confidentiality.
Key Responsibilities:
- File and organize paperwork, ensuring that all documents are accurately and securely stored.
- Scan and upload documents to the firm’s database, maintaining the integrity of electronic files.
- Close and archive completed client files in accordance with firm procedures.
- Answer phones professionally, taking messages and directing calls to the appropriate staff members.
- Assist with mail-related tasks, including sorting, distributing, and mailing documents as needed.
- Perform various office support tasks as assigned by the team, including assisting attorneys and staff with administrative needs.
Qualifications:
- Strong organizational skills with the ability to manage multiple tasks effectively.
- Excellent verbal and written communication skills.
- Ability to work independently and in a team-oriented environment.
- Proficiency with office equipment (copiers, scanners, phones) and basic office software (Microsoft Office Suite).
- Previous office experience is a plus, but not required.
