Job Title: Front Desk Legal Assistant (Bilingual - English & Spanish)

About Us: We are looking for a bilingual (English and Spanish) detail-oriented and professional receptionist to join our legal office. As the first point of contact for clients, you will manage communications and administrative tasks while providing excellent customer service. In this role, you’ll play a vital role in ensuring smooth day-to-day operations by managing phone calls, scheduling, provide essential administrative support to attorneys and staff. Key Responsibilities:
- Client Communication: Greet clients in person and answer phone calls and emails professionally, directing inquiries to the appropriate legal staff. Provide general information about services to potential clients.
- Scheduling & Calendar Management: Coordinate and schedule consultations, court dates, and client meetings. Manage attorney calendars, send intake forms, and follow up to ensure all necessary documents are received before appointments.
- Document & Case File Management: Request and organize client documents, file and manage digital case files using cloud-based legal software, and ensure confidentiality of all records. Open and close case files per firm procedures.
- Client Support: Provide follow-up communication, send documents for review, and offer guidance on legal processes as appropriate. Document all client interactions in the case management system.
- Office Coordination: Maintain a well-organized and welcoming office environment. Ensure smooth daily operations by supporting legal staff and communicating with clients in person, by phone, and via email.
- Administrative Support: Assist attorneys with contract preparation, follow-up emails, payment processing, and general office administration. Manage and organize emails for the lead attorney.
- Confidentiality & Compliance: Maintain strict confidentiality regarding client and case-related matters in compliance with legal and ethical standards.
Qualifications & Skills:
- Bilingual (English & Spanish) required – strong written and verbal communication in both languages.
- Prior experience in a law firm or office setting is preferred but not required.
- Strong customer service and organizational skills.
- Ability to multitask, manage priorities, and work in a fast-paced environment.
- Proficiency in Microsoft Office Suite and case management software (Preferred but not required)
- High attention to detail and ability to handle confidential information with discretion.
