Overview
We are seeking a detail-oriented and organized Legal Secretary/Paralegal to join our law office. The ideal candidate will play a crucial role in supporting our attorney by interacting with clients at the direction of the attorney, drafting legal documents and forms for clients from pre-prepared templates under the supervision of the attorney; staying on top of deadlines and sending out necessary notices in probate cases and trust administration cases; and on an “as needed” basis when the office administrative assistant is not available: answering phones, returning phone calls, making appointments and managing the office calendar; copying, scanning, and binding of documents; managing and organizing cloud based and physical client files, and ensuring the smooth operation of daily activities. This position requires strong clerical skills, familiarity with legal terminology, and proficiency in Word, Excel, and OneDrive, as well as discretion and confidentiality.
Responsibilities
- Under supervision of the attorney, prepare and proofread legal documents from templates such as court forms, estate planning documents, and correspondence.
- Provide administrative support to attorney, including managing calendars and scheduling appointments.
- Maintain and organize cloud based and physical case files, ensuring all documents are filed accurately and timely.
- Communicate effectively with clients, court personnel, and others as needed.
- Perform clerical duties including answering phones, taking messages, and managing the calendar and office supplies.
Experience
- Previous experience as a Legal Secretary/Paralegal or in a similar role within a law office or court is highly desirable. Pay is negotiable based on experience.
- Strong organizational skills with the ability to manage multiple tasks simultaneously while maintaining attention to detail.
- Excellent proofreading skills to ensure all documents are error-free before submission.
- Knowledge of civil law is a plus.
- Notary Commission is highly desirable.
