Duties
- Greet visitors and clients warmly, providing a positive first impression of the company.
- Manage incoming calls and emails, demonstrating exceptional phone etiquette.
- Schedule appointments and maintain calendars for staff members.
- Perform clerical duties such as filing, data entry, and document preparation.
- Assist with office management tasks to ensure efficient operations.
- Maintain front desk supplies and inventory, placing orders as necessary.
- Maintain electronic and physical files of client information, including case history, petitions, and correspondence.
- Provide support to other administrative staff as needed, acting as a personal assistant when necessary.
- Handle customer inquiries with professionalism and provide appropriate solutions.
Requirements
- Fluency in both English and Spanish is required to interact with clients and colleagues effectively
- Proven experience in an administrative role or similar position; preferably in immigration law or legal services.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent time management skills to meet deadlines in a busy environment.
- Familiarity with phone systems and office equipment is essential.
- Proficient in Microsoft Office Suite.
- Exceptional customer service skills with a friendly and approachable attitude.
- Ability to work independently as well as part of a team.
- Ability to maintain confidentiality and handle sensitive information
