James F. Aspell P.C., a very busy workers compensation and Social Security Disability law firm is currently seeking a warm, caring professional and detail-oriented legal assistant/ Specialist/Receptionist to join our team. The successful candidate will be responsible for handling inbound leads, identifying and nurturing new business opportunities and fostering strong client relationships. You will spend your day largely on the phone, scheduling appointments, obtaining information as well providing support to new and existing clients. Additionally, you will be supporting 2 attorneys and 3 paralegals with medical records requests, and overflow transcription.
Additional duties to include providing necessary administrative support to ensure our office operations run efficiently including administrative tasks as needed including filing, faxing, and assisting the lawyers and paralegals on an as needed. This is a very "hands on" position and we need a client-focused candidate who has excellent organizational skills, attention to detail, and the ability to maintain confidentiality in a legal setting.
Key Tasks Include:
· immediate outgoing self starter. This is not a job for an introvert
Genuinely empathize with new and existing clients and their situation
.Manage, schedule or direct all inbound client inquiries as required
.Identify and pursue onboarding of inbound leads
. Contacting existing clients on a regular basis to check in on their needs
. Greeting clients and visitors in a professional manner, ensuring a positive experience
Follow up and nurture inbound leads.
Nurture existing client relationships
Be able to effectively manage a 300 plus caseload efficiently
· Answer all incoming phone calls and direct calls to the appropriate person, taking detailed messages when necessary.
· Schedule and coordinate client appointments for multiple providers .
· File, copy, print, fax, and handle complex phone calls.
· Perform other duties as required.
Requirements:
· Strong communication skills (written and verbal)
.strong self-starter
· Customer service oriented
· Understanding of the appropriate use and importance of related forms, medical terminology, referral processes.
· Excellent time management skills and ability to prioritize work.
· Punctual, reliable and organized.
· 1 year applicable PI or workers comp experience strongly preferred
.Prior Filevine or Lead Docket experience a major plus
