What are the responsibilities and job description for the Operations Desktop Support Program Administrator position at Lawrence Berkeley National Laboratory?
Lawrence Berkeley National Lab’s (LBNL) Information Technology (IT) has an opening for an Administrator to join the team and oversee key functions of the Operations Desktop Support Program.
In this exciting role, you will manage inventory, issue computers, customer communications, coordinating with Workstation Staff, bulk purchasing of standard computer configurations, and assessing and purchasing customized computer solutions. You will also provide guidance and manage processes associated with the Refresh and Repurpose Programs.
What You Will Do:
- Inventory Management: Maintain and track inventory of desktop and laptop computers. Ensure accurate records and appropriate stock levels for operational needs.
- Computer Issuance: Manage the lifecycle of issuing computers to employees, including setup, distribution, and documentation.
- Customer Communications: Serve as one of the primary contacts for customer inquiries, providing clear and timely communication regarding hardware requests, procurement updates, and refresh timelines.
- Collaboration with ITSS Staff: Partner with ITSS Staff to ensure seamless coordination on hardware deployments, configurations, and troubleshooting.
- Bulk Purchasing: Coordinate and execute bulk purchases of standard computer configurations, ensuring cost-efficiency and adherence to Lab procurement policies.
- Refresh and Repurpose Programs: Understand and manage the computer Refresh Program, ensuring timely upgrades and replacements of outdated hardware and the reissuance of used systems in the Repurpose Program.
- Custom Hardware Solutions: Assess requests for customized computers, ensuring they meet user needs while adhering to budget and policy constraints.
- Recharge Program Understanding: Apply knowledge of recharge programs to ensure proper cost recovery and compliance with financial policies.
- Procurement Knowledge: Utilize familiarity with Berkeley Lab’s procurement policies and tools (e.g., eBUY, TREX) to execute purchasing efficiently and in compliance with Laboratory standards.
- Act as a back-up for administrative personnel at other locations, as well as the Deputy Division Director’s and Division Director’s offices.
What is Required:
- Minimum of 2 years of directly related experience.
- Demonstrated experience providing high-level administrative support including calendar management, scheduling, meeting planning and project coordination, tracking and data management, report generation, and use of a ticket management system.
- Significant experience using a variety of cloud-based software platforms and applications including MS Office Suite, Google Apps Suite, Adobe Acrobat, and Zoom web conferencing on a Mac or PC computer.
- Excellent planning and organizational skills, including the ability to handle multiple tasks concurrently to meet workload demands and deadlines, to respond quickly and to maintain flexibility during periods of changing work priorities and tight time constraints.
- Demonstrated written communication skills including experience producing professional high-quality, error-free documents, reports, and presentations.
- Excellent verbal and interpersonal communication skills including demonstrated experience interfacing with all levels of personnel both internal and external to an organization with a high degree of professionalism, discretion, and confidentiality.
- Strong skills with demonstrated abilities to operate with hybrid (onsite/remote) customers.
- Strong skills with a great interest in working with accessing, relating, inputting and maintaining databases with a demonstrated ability to analyze and synthesize data into charts, graphs, and queries using various software applications.
- Demonstrates independent and sound problem-solving and decision-making skills and the ability to suggest and implement new ways of providing effective, efficient, and cost-saving support services.
- Ability to learn quickly, be a critical thinker, ask questions or verify instructions.
- Ability to function independently as well as part of a team and take direction from other support staff members, work leads, supervisors, and ITD customers in general.
- Ability to maintain flexibility during periods of changing work priorities and tight time constraints.
- Must have a valid California drivers license.
Desired Qualifications:
- A Bachelor’s Degree (or equivalent training/knowledge).
- Experience in or familiarity with DOE, Lab, or University of California policies and procedures.
- Experience working in a strong safety culture
- Knowledge of relevant LBNL policies and procedures.
- Knowledge of LBNL systems (such as Asset Management System, FMS, eBUY, TREX, LETS).
Notes:
- This is a full-time career appointment, exempt (monthly paid) from overtime pay.
- This position is expected to pay $71,736.00-$89,676.00, which fits within the full salary range of $71,736.00-$121,068.00 for the A40.2 job code. Salary for this position will be commensurate with the final candidate’s qualification and experience, including skills, knowledge, relevant education, certifications, and aligned with the internal peer group.
