Position Summary:
The Office Assistant provides administrative and staffing support for our company. You play a key role in helping our team members from recruitment to departure. This includes recruiting and retention, facilitating training, administering systems, and supporting benefits administration and data requests. Responsible for assisting the Office Manager in Compensation and Benefits Administration, Recruitment, Compliance, Payroll and general employment related duties. Additionally, the Office Assistant will engage with our team members to understand and continuously improve employee relations. Our ideal candidate is customer-service oriented, possesses excellent communication skills, has a professional appearance and a positive, can-do attitude.
Key Responsibilities:
- Assist with recruitment efforts, including sourcing, screening, interviewing, and onboarding of candidates.
- Conduct orientation training on standard company policies, procedures and systems.
- Prepare and maintain employee files, ensuring data integrity in the computer system.
- Assist with writing and editing position descriptions and online job postings.
- Provide a visible presence acting as the primary point of contact for employee inquiries, ensuring prompt and effective resolution.
- Assist supervisors to resolve personnel concerns by conducting investigations, documenting findings, and following up with involved parties to close out issues.
- Help to improve company culture and create community.
- Assist in the performance review process, ensuring evaluations are completed on time and effectively.
- Provide support to supervisors on employee relations matters, including performance management, disciplinary actions, and conflict resolution.
- Assist in documenting disciplinary processes, in conjunction with supervisors and Office Manager.
- Support training needs and collaborate with department heads to provide employee development programs.
- Assist team members with time tracking and perform payroll support.
Required Qualifications:
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Outlook).
- Valid driver’s license with good driving record; must provide own transportation to work site each day (having your own vehicle is essential).
- Demonstrated experience interacting and building credibility with all levels of the organization, from entry level to senior leaders.
- Collaborative approach and comfortable training and leading.
- Positive attitude and professional appearance.
- Excellent oral and written communication and interpersonal skills.
- Multitasking and time-management skills, with the ability to prioritize tasks.
- The desire and ability to be a change agent focused on continuous improvement.

- Ability to act with integrity, professionalism, and confidentiality.
- Certificate in human resources studies and/or human resources and payroll experience preferred.
- Familiarity with Office Administration in Construction, Excavation, or Trucking industry desirable.
- Experience with Foundation Construction Accounting software program preferred.
