The Spirit Of The Position

At LAZ Parking, we thrive when our people thrive. We are currently looking for an Administrative Manager to be a supportive force who empowers two members of our executive leadership team. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. This person should have experience working in a corporate environment, performing administrative duties, and providing support to high level executives.

Given the dynamic nature of the executive landscape, we rely on Administrative Managers to be flexible and consistent while maintaining the confidentiality of high-level systems and operations. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

The Administrative Manager will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

This is a remote position, but the ideal candidate will be able to provide support during normal business hours in the Pacific Time zone.

You Will

  • Support two members of our executive leadership team (President, West Coast & EVP, Hospitality) and provide additional support to LAZ Parking team members, as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently.
  • Maintain and refine internal processes that support high-ranking executives companywide and coordinate internal and external resources to expedite workflows.
  • Manage communication with employees by liaising with internal and external executives on various projects and tasks.
  • Plan and orchestrate work to ensure that our two executive leaders’ priorities are met, organizational goals are achieved, and best practices are upheld.

Responsibilities

  • Manage professional and personal scheduling, including agendas, email, Team Meetings, calls, client management, and other company logistics.
  • Coordinate complex scheduling and calendar management, as well as content and flow of information to LAZ team members.
  • Coordinate and assist w/ various strategy meetings for regional and national conferences/events that the LAZ leadership team attends and oversee logistical and administrative duties that are needed. 
  • Manage travel logistics and activities, including accommodations, transportation, and meals.
  • Process and submit expense reports on behalf of the two executive leaders. 
  • Provide administrative support in internal and external meetings.
  • Maintain professionalism and strict confidentiality with all materials.
  • Organize team communications and plan events, both internal and off-site.
  • Prepare correspondence, reports, memorandums, applications, certificates, permits and other materials from copy, rough drafts and other sources. 
  • Assists and supports Home Office initiatives such as newsletters, audits, project oversight and other miscellaneous tasks as requested.
  • Partner with human resources to manage, document, track and communicate HR-related initiatives such as employee engagement and training certification programs.
  • Identify opportunities for process improvement and create SOPs for best practices.
  • Other related duties as assigned.

Requirements

  • At least 2 years of experience in an administrative management role reporting directly to upper management/C-Suite.
  • Excellent written and verbal communication skills, including the ability to interact with diverse individuals at all levels.
  • Strong time-management skills and the ability to organize and coordinate multiple concurrent projects and meet deadlines effectively.
  • Proficiency with Microsoft Office and an aptitude for learning new software and systems.
  • Flexible team player, willing to adapt to changes and unafraid of challenges.
  • Ability to maintain confidentiality of information related to the company and its employees.
  • Meticulous attention to detail to ensure accuracy and professionalism.
  • Forward looking thinker, who actively seeks opportunities and proposes solutions.
  • May travel up to 12 times per year throughout the US.

Physical Demands

  • Ability to lift, push and pull at least 10 pounds.
  • Ability to stand and walk for a duration of 1-2 hours at a time.
