Job Summary: The Administrative Billing Clerk is responsible for ensuring accurate and timely processing of invoices, managing billing inquiries, and maintaining detailed financial records. This role ensures efficient billing operations by verifying data accuracy, resolving discrepancies, and providing excellent customer service. The ideal candidate will be detail-oriented, organized, and capable of multitasking in a dynamic work environment to achieve a high level of productivity within the company.
Responsibilities and Duties:
1. Carrying out clerical duties such as answering phone calls, responding to emails, and preparing documents, including official correspondence, and memos.
2. Reviewing and verifying the accuracy and completeness of various documents.
3. Generating and issuing accurate invoices to clients.
4. Verifying billing data for accuracy, including pricing, contracts, and purchase orders.
5. Recording and processing incoming payments, reconciling payments with accounts and resolving discrepancies.
6. Maintaining accurate records of invoices, payments, and other financial transactions.
7. Preparing monthly billing reports and summaries for management.
8. Processing employee timecards, calculating hours, and verifying overtime as needed.
9. Assisting in the administration of employee benefits programs, including health insurance and retirement plans.
10. Overseeing daily office activities, including managing schedules, supplies, and equipment controls.
11. Performing other relevant duties when needed.
Qualifications:
· 2 or more years of office administration/billing experience.
· Proficient in a variety of computer software applications including Microsoft Office Suite.
· Comfortable handling confidential information.
· Excellent English written and verbal communication skills.
· Multitasking and time-management skills, with the ability to prioritize tasks.
· Excellent attention to detail and problem-solving abilities.
· Ability to work independently and as part of a team.
· Associate or bachelor’s degree in business administration or related field is a plus.

·The work is performed in an office environment which requires long periods of sitting and use of computer screens. Minimal lifting, bending, and crouching required.
