Overview
This career specialist supports the team with a professional level of operations, project management, and strategic partnership. The role generally provides support in areas such as administrative support, managing vendor relationships, tracking and managing project milestones, and coordinating travel and events. They will also drive cross-functional collaboration, anticipate project needs, and support the delivery of prioritized initiatives. The specialist will help remove barriers, ensure operational milestones are met, and support team communications. The incumbent may accomplish any or all of the essential functions, or other professional duties of a professional administrative nature. At this career level, the incumbent generally conducts work independently or participates as a team member for major complex, or international projects and processes.

Operations and Administrative Support
Provide general administrative support to the team, including scheduling, project tracking, and anticipating cross-functional needs.
May perform department specific duties such as: marketing plans, data analysis, basic procurement, vendor relationship management, coordinate travel and events, and/or program development.
Manage and track projects through Workfront, ensuring they remain on track and align with team priorities and KPIs.
Schedule and capture notes for meetings, ensuring project outcomes are documented, communicated and tracked.
Strategic Partnership and Project Development
Act as a strategic partner to team members, helping to identify and address barriers to project success.
Support the development and planning of business cases, particularly for marketing initiatives, including stage-gate management. This may include: gathering business data such as project costs or metrics, resource needs, analyzing information, developing and presenting reports based on this analysis.
As part of the product development cycle, assist in research, development, testing, and scaling projects, ensuring they stay on track for delivery.
Develop cross-functional plans to ensure projects remain on schedule and collaborate closely with other teams (e.g., Supporter Care, BI, Sourcing) to resolve issues.
Project Management and Integration
Track and manage projects, ensuring progress and alignment with team goals timelines & KPIs.
Collaborate with Marketing and other cross-functional teams to push forward projects and manage operational milestones.
Utilize project management principles and tools (e.g., Workfront) to ensure project transparency and success.
Cross-Functional Collaboration and Communication
Build connections cross functionally in areas such as: Marketing, Operations, Supporter Care, BI, Sourcing, and Program to advance projects.
Act as an advocate for the team, ensuring alignment and smooth collaboration across functions.
Anticipate cross-functional needs and proactively manage tasks, deliverables, and approvals.
Capture key insights from meetings and communicate project updates through internal newsletters and quarterly meetings.
Continuous Improvement and Data Management
Develop and maintain project metrics to track project progress and outcomes.
Regularly analyze data to provide actionable insights and improve project execution. This may include: requirement definition, process review, impact assessment and operational streamlining, where appropriate, to increase productivity and efficiency. Prepare supporting documentation such as presentations, future state maps, success metrics, business requirements and related impact analysis
What do you bring?
Bachelor’s degree in a related field and/or equivalent education, training and/or certification.
Seven years relevant experience working in product management, operations, product development, administrative support, or related field.
Process-minded and strong technical proficiency; working knowledge of systems such as Workfront and Smartsheet preferred.
Proven track record of building relationships with key partners and stakeholders.
PMP, Agile or Scrum certification preferred.
Ability to travel up to 2-3 times per year.
