POSITION SUMMARY
Reporting directly to the Executive Director, the Administrative Assistant is responsible for providing overall administrative and operational support to the organization.The Administrative Assistant works collaboratively with all staff to support the mission of LEAD with Horses and represent its values when interacting with the community. This position is a key link in supporting the efficient and smooth day-to-day operations of the organization. Responsibilities include: receptionist duties, scheduling, records management, and assisting with projects as assigned.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Serve as the initial point of contact for clients, participants, and families.
- Receive all incoming phone calls; ensure effective telephone communication to maintain the organization’s professional image.
- Monitor email accounts: field inquiries, answer questions, and forward information to appropriate staff members and consultants.
- Maintain contact and enrollment databases, forms, and mailing lists.
- Manage incoming & outgoing mail and packages
- Purchase office supplies and office equipment for all staff in accordance with purchasing policies and budget; tracks inventory and receipt of online orders.
- Track and upload invoices and receipts.
- Organize and implement record management, filing and other administrative tasks.
- Assist with planning, preparation, and onsite support for meetings and events.
- Provide support/collaborates with other staff on various projects/tasks as needed and requested.
- Periodically produce electronic announcements, such as staff and stakeholder updates.
- Promote and support LEAD with Horses.
MINIMUM REQUIREMENTS
- Minimum of two years of administrative or office experience required.
- Strong problem-solving and time management skills; must be able to prioritize and manage multiple assignments and deadlines.
- Excellent interpersonal skills; service oriented.
- Effective and professional verbal and written communication skills with the ability to interact with a variety of people.
- Proficiency with Microsoft Office Suite and Google Workspace; comfortable with client management software/platforms.
- Ability to maintain confidential information and documents with discretion.
- Ability to work independently as well as collaborate as part of a team.
- Demonstrated ability and capacity to handle multiple tasks, projects, and priorities professionally with accuracy, consistency, efficiency, and attention to detail.
- Some moderate lifting (up to 25 pounds) may be required on an occasional basis.
PREFERRED QUALIFICATIONS
- Bi-lingual (English/Spanish) highly desirable
- Tech savvy with understanding of online communications and organizational applications
- Nonprofit experience
ADA SPECIFICATIONS
- While largely sedentary, this position requires the ability to sit, climb stairs, stand, lift up to 20 lbs., as well as speak, and hear, sometimes for extended periods of time.
- Requires the ability to use a computer and office equipment traditionally found in office settings.
- Limited local travel.
COMPENSATION AND BENEFITS
Hiring salary range is $16-18/hr. The 25-30 hours a week work schedule is flexible. Some weekend hours may be required.
