Position Summary
Operate multiple phone lines, greet visitors, support and coordinate office services such as personnel, mail, building maintenance, records control, luncheons, events, special projects, appointment schedules, filing, corporate and/or vendor correspondence, order and manage office supplies, coordinate corporate meetings and conference room’s schedules, assist with quarterly communicator newsletters, create and maintain spreadsheets and documentation as needed. Assists Director of Accounting and Administration.
Duties & Responsibilities
Operate multiple phone lines
Professionally administer all incoming calls
Ensure phone calls are redirected accordingly
Greet guests in a professional, friendly, hospitable manner
Maintain visitor log
Receives/log/maintain mail, packages & distributes to appropriate personnel
Assist with schedule and calendars
Assist with special company and/or community projects as requested
Maintain Company Confidentiality
Assist with building management
Create corporate and/or vendor correspondence
Review and answer office correspondence as requested
Order, organize and maintain office supplies, break room, supply room and copy room
Coordinate corporate meetings, luncheons, events and conference rooms
Create and maintain spreadsheets and other documentation as requested
Organize and maintain admin. and quality document records control
Assist with Quarterly Communicator Newsletter and Communicator Express
Maintain weekly A/P filing
Assists Director of Accounting and Administration
Admin Assistant support for Contracts in creating weekly/monthly reports, editing documents, resume formatting, etc.
Admin assistant support for BD and Corporate departments
Perform a variety of clerical duties as assigned

Education & Experience Requirements
EDUCATION:
Associates degree from post secondary school or Certificate from Accredited Vocational Technical Institution
EXPERIENCE:
Minimum 3 year administrative experience is required
Minimum 3 year customer service experience is required
Experience with Internet and email applications
Experience working in a professional, fast paced office environment
Experience and ability to effectively interact with upper-level management
Skill & Certification Requirements
KNOWLEDGE:
Proficient in MS Office applications; specifically MS Outlook, Word, Excel, PowerPoint
SharePoint System
SKILL:
Typing - 45 wpm minimum
10-key by touch
Excellent Customer Service Skills
Excellent phone etiquette
Excellent verbal communication skills
Punctual
Able to work with minimum supervision
Should be customer service driven
Knowledge of MS office (Word, Excel, Outlook, Access)
Professional appearance
Strong organizational skills; must be able to meet deadlines
Strong attention to detail
Outstanding oral and written communication skills
ABILITY:
Ability to multi-task and support multiple projects and deadlines
Intermediate ability to create correspondence in MS Word
Intermediate ability to create and maintain spreadsheets (including creating formulas) in MS Excel
Intermediate ability in alpha-numeric data entry
PHYSICAL REQUIREMENTS:
May require lifting of 20-50 lbs.
Extended telephone use
Position requires sitting for long periods of time. (Sedentary Work)
Most duties require use of a keyboard and computer monitor
