Essential Duties and Responsibilities :
- Answer main office phone and direct calls to appropriate extensions.
- Check voicemail daily and distribute voice messages via email to relevant staff.
- Greet and assist visitors, parents, and students at the front desk with professionalism and courtesy.
- Prepare and distribute flyers and the monthly school calendar.
- Assist with bulk mailings, ensuring timely and accurate distribution.
- Provide backup support for daily attendance report preparation and distribution to school directors.
- Maintain and update the calendar on the bulletin board for school-wide events.
- Update and organize the daily bulletin boards to ensure relevant information is displayed.
- Keep accurate records for front desk logs, including visitor log, late student log, and early dismissal log.
- Write passes for students needing to visit the nurse
- Assist with translations for non-English-speaking families as needed.
- Distribute incoming mail to appropriate recipients in a timely manner.
- Keep the copy room organized and tidy, including managing recycling.
- Contact parents of students remaining after the after-school bus has departed, stay with students until 4 : 00 PM, and coordinate with late-duty staff for students who are still on campus after that time.
- Manage the calendar for parent appointments and meetings, ensuring effective scheduling.
- Update weekly and monthly attendance reports for the Middle School Principal and Director of Family Engagement.
- Regularly communicate with families through school-wide communication platforms to ensure all parties are informed.
- Play an integral role in the enrollment process for new families, including assisting with registration and orientation sessions, and providing ongoing support throughout the transition.
- Support other administrative duties as assigned by the Director of Family Engagement and the School Principal.
- Assist with organizing school events and parent-teacher meetings, ensuring logistical support is provided.
- Maintain a positive and welcoming atmosphere for families, students, and staff members.
- Track and report any facility issues or maintenance needs to the appropriate department.
- Coordinate with other administrative staff to ensure smooth day-to-day operations.
- Provide general clerical support as needed, including data entry, filing, and document preparation.
