Job Summary:
Leadership Prep School is seeking a highly organized, detail-oriented, and proactive Multi-Department Executive & Administrative Assistant to support the Chief Academic Officer, ESL Coordinator, 504 Coordinator, Special Education Coordinator, and district testing. This position plays a crucial role in ensuring smooth daily operations, effective communication, and administrative efficiency within multiple departments.
Key Responsibilities:
Executive Support (Chief Academic Officer)
- Manage and maintain the Chief Academic Officer’s calendar, including scheduling meetings and appointments.
- Prepare reports, presentations, and correspondence.
- Serve as the primary point of contact for internal and external communications.
- Assist in coordinating district-wide academic initiatives.
- Maintain confidentiality on all executive matters.
Administrative Support (ESL, 504, and Special Education Coordinators)
- Coordinate and schedule meetings, training sessions, and professional development activities.
- Maintain and organize department records, documents, and reports.
- Assist in the preparation of compliance reports for federal, state, and district regulations.
- Communicate with parents, staff, and external agencies regarding program information and services.
- Support the development and distribution of instructional materials.
- Assist in monitoring deadlines and ensuring timely completion of required documentation.
District Testing Coordination Assistance
- Provide logistical support for district-wide testing administration, including scheduling, communication, and distribution of testing materials.
- Maintain accurate records of testing accommodations and ensure compliance with regulations.
- Assist in training campus test administrators and proctors.
- Track and manage testing materials, including ordering, inventory, and secure storage.
- Support data collection and reporting for assessment results.
Qualifications:
- High school diploma required; Associate’s or Bachelor’s degree preferred.
- Minimum of 3 years of administrative support experience, preferably in an educational setting.
- Strong organizational, multitasking, and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Experience handling sensitive and confidential information.
- Ability to work independently and collaboratively with various stakeholders.
- Familiarity with school district policies, testing procedures, and compliance requirements preferred.
Work Environment & Physical Requirements:
- Work is primarily performed in an office setting within a school district administration building.
- Occasional travel to school campuses may be required.
- Must be able to sit or stand for extended periods and lift up to 20 pounds.
