Job Description
We are looking for an Administrative Assistant IV to support the EVP / Deputy General Counsel and up to three supporting attorneys within the Corporate Legal team.
Key Responsibilities :
- Meeting Coordination : Prioritize, schedule, and facilitate meetings and tasks for executives, often in alignment with other senior-level priorities.
- Preparation and Documentation : Schedule meetings, reserve conference rooms, prepare agendas, and distribute relevant documents.
- Document Management : Create, revise, and redline complex documents in Word, Excel, and Adobe Acrobat, accurately processing extensive handwritten notes and edits.
- Cloud-Based Tools : Utilize various applications for electronic signatures, corporate database access, etc.
- Information Flow : Manage document flow between departments and stakeholders, ensuring timely follow-up on sensitive matters.
- Record Management : Organize and coordinate digital and paper records, liaising with other staff on shared files.
- Travel and Event Planning : Arrange travel, plan offsite meetings, and organize team events.
- Expense Reporting : Process expense reports promptly.
- Staff Coordination : Keep EVP informed on relevant team matters.
- Office Management : Oversee phone coverage, manage the executive office area, and coordinate with in-person visitors.
- Cross-Departmental Relations : Foster relationships with other legal and support departments (e.g., IT, facilities).
Qualifications
- Experience : 5 years as an Executive Assistant, preferably in a large corporation or law firm.
- Skills : Ability to handle confidential matters discreetly, adapt to dynamic workloads, and remain solution oriented.
- Critical Thinking : Proactively identify issues and make timely decisions.
- Support Versatility : Tailor support to meet the unique needs of different managers.
- Collaboration : Work effectively across all levels of the organization, supporting beyond primary responsibilities as needed.
- Detail-Oriented : Maintain accuracy and attention to detail.
- Professionalism : Instill trust through professional demeanor and communication.
- Technical Proficiency : Skilled in MS 365 Suite and Adobe Acrobat
