The Building Secretary plays a vital role in supporting the daily operations of Bert Goens Learning Center. This position involves a wide variety of clerical and administrative tasks that ensure the school functions efficiently and effectively. The ideal candidate is organized, detail-oriented, professional, and capable of handling confidential information with discretion.

Qualifications:
Education:
High school diploma or equivalent required
Work Experience:
Minimum of two years in an office or school setting preferred
Skills and Knowledge:
- Effective and efficient office organization and management skills relative to attending to people and tasks, processing communications, storing and retrieving information, scheduling, monitoring and follow-up.
- Ability to seek knowledge of special education laws and due process procedures.
- Finance skills related to accounting records for students, payroll information for staff, processing of purchase requisitions and tracking budget line items.
- Accounting skills related to student lunch program, state lunch count, pupil accounting and audits.
- Managing, serving and ordering for lunch
- Ability to understand and be knowledgeable of staff contracts; ability to coordinate and complete human resource tasks for contracts, staff attendance, new employee forms and others.
- Demonstrate proficiency in use of the Google Workspace (Docs, Sheets, Forms, Slides)
- General professional skills, including a willingness to:

- Adhere to federal, state and VBISD policies and procedures.

- Perform additional tasks, responsibilities and duties as assigned by the Director of Special Education and the Superintendent.
Essential Job Functions:
- Ability to sit and work on a computer for long periods of time.
- Maintain confidentiality of personnel and students.
- Utilize online software and databases to maintain an accurate and up-to-date account of school operations, staff and student records, and program information. Including but not limited to: staff records (TimeClock Plus), student records (PowerSchool), and program information (Google Drive).
- Maintain accident reports and workman’s compensation information.
- Manage purchasing, including preparation of PO’s, monitoring of allocated budget amounts and distribution of all equipment and supplies.
- Verify incoming packing slips and process to ISD central accounting department.
- Assemble, route and maintain all enrollment paperwork and student records. Monitor compliance of IEP paperwork.
- Maintain required records for State and Federal reports, projects, contracts and general information file system.
- Process and maintain records for professional development requests, reports and hours.
- Manage, update and distribute annual documents, such as, the school calendar, parent letters, and other home/school communications to parents and staff.
- Provide backup support to the other building secretary in his/her absence and in times of work overloads.
- Assist the principal in maintaining a daily schedule, including preparation for meetings and appointments.
- Address matters brought to the Principal’s attention in his/her absence or when administrative action is not warranted.
- Contact principal and appropriate administrators in an emergency or when matters necessitate administrative authority.
- Receive and route phone calls to the appropriate place.
- Order and maintain office supplies and equipment.
- As needed, assist in the preparation for and administration of state mandated student assessments, ensuring that all compliance requirements are met.
- Maintain office to appear and operate in a professional, orderly and clean manner.
- Perform additional tasks, responsibilities and duties as assigned by VBISD administrators.
- Valid driver's license required
Terms of Employment: As per master agreement and provisions established by the Van Buren Board of Education.
