Location: Hybrid work model, with remote work and occasional in-person meetings.

FLSA Status: Non-Exempt

Job Status: Part-Time. Eligible for NY Safe and Sick Leave

Schedule: 12-15 hours per week, with flexibility in scheduling

Pay Rate: $27-35 (based on experience)

Tentative Start Date: Feb 24, 2025

JOB PURPOSE

The Executive Assistant (EA) will provide high-level administrative and operational support to the Executive Director, ensuring smooth day-to-day operations and maximizing efficiency. This part-time, hybrid role is ideal for a highly organized, detail-oriented professional with strong communication and problem-solving skills.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

Administrative & Executive Support

  • Manage and maintain the Executive Director calendar, scheduling meetings, appointments, and travel.

  • Prepare meeting agendas, take minutes, and track follow-up actions.
  • Draft, proofread, and edit correspondence, reports, presentations, and other materials.
  • Assist with inbox and communication management, responding to or flagging important emails.

Operational & Project Management

  • Support key organizational projects by tracking deadlines and assisting with logistics.

  • Coordinate and organize board meetings, including scheduling, preparing materials, and handling logistics.
  • Assist with fundraising and donor engagement efforts as needed.
  • Conduct research and compile data for reports, presentations, or strategic initiatives.

Stakeholder & Team Coordination

  • Liaise with staff, board members, partners, and funders to coordinate meetings and communications.

  • Provide logistical support for events, fundraisers, and speaking engagements.
  • Handle confidential and sensitive information with discretion and professionalism.

Qualifications & Experience

  • Minimum of 2-3 years of experience providing executive support, preferably in the nonprofit sector.

  • Strong organizational skills, attention to detail, and ability to manage multiple priorities.
  • Excellent verbal and written communication skills.
  • Proficiency in Google Suite, Microsoft Office, and project management tools (e.g., Asana, Slack, Zoom).
  • Ability to work independently and proactively anticipate needs.
  • Experience coordinating meetings, preparing reports, and managing executive calendar.
