Summary/Objective

The Project Manager/Executive Assistant works within the LECOM clinical services to facilitate, coordinate and monitor project-related activities, goals, and objectives in accordance with requirements. Projects may include grants. The Executive Assistant provides high-level administrative support to the assigned leader and leadership team, ensuring smooth and efficient operations within the organization and for the assigned leader/s, managing their schedules, communications, and information flow to optimize their productivity.

Essential Functions:

1. Report as assigned to any of the LECOM Health facilities, such as but not limited to Millcreek Community Hospital, Corry Memorial Hospital, Medical Associates of Erie, Achievement Center of LECOM Health, and Corry Counseling of LECOM Health.

2. Knowledge, skills, attitude, and energy to consistently contribute to the mission of LECOM Health.

3. Promote and preserve the mission of LECOM Health.

  • Ability to work independently and manage time efficiently.
  • Proficient use of Microsoft Office (Excel, PowerPoint, Outlook, etc.) and/or project management software.
  • Act as the point of contact between the President and internal/external clients.
  • Handle requests and queries appropriately with the highest level of customer service.
  • Undertake the tasks of receiving calls, taking messages and routing correspondence
  • Make travel arrangements
  • Develop and carry out an efficient documentation and filing system

11. Ensure all phone calls are answered and/or redirected accordingly in a professional manner.

12. Open and distribute pertinent mail.

13. Type memos, correspondence, reports and other documents.

14. Attend and record minutes at various Committee meetings, and compose agendas as needed.

15. Maintain program organizational files.

16. Maintain and appropriately communicate the Regional President’s schedule.

  • Prepare for project-related meetings/activities by conducting scheduling polls, sending calendar invites, creating agendas, and taking meeting minutes.
  • Ensure that all documents, meeting minutes, project resources, etc. are current and save appropriately.
  • Provide project coordination and/or facilitation support for meetings and activities.

20. Oversee the development and implementation plans of the projects in coordination with the Regional President and leadership teams to ensure adherence with targeted timelines.

21. Participate in the development of project required documents and required reports (when applicable).

22. Maintain and develop outcome reports and submit analysis to the Regional President, leadership teams, and other stakeholders.

23. Participate in the development of data collection tools and makes data-driven decisions.

24. Attend meetings, in-services, and other relevant activities.

25. Pursue professional development opportunities, both individually and as deemed appropriate by supervisor.

26. Maintain positive professional relationships.

27. Provide continuous innovation as relates to job duties and organizations.

28. Respond to all communications in a timely manner.

29. Understand institutional policies and procedures.

30. Works cooperatively and collegially with others, consistent with a workplace of dignity and respect and EEO rules and regulations.

31. Reports to work as scheduled, ready to devote full attention and energy to the important work of LECOM.

32. Must be able to take direction and receive assignments from the Regional President,

33. Accept other duties needed/assigned for the health system’s needs.

Work Environment:

1. 90% of the time this job operates in a professional office environment. This role routinely uses standard office equipment such as computers, desk/cell phones, and photocopiers.

2. 10% of the time, the position requires the ability to operate a motor vehicle in all types of weather, travel to attend meetings at off-site locations as required.

Physical Demands

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to:

Talk and hear; communicate fluently in English with excellent verbal and written skills; ability to effectively communicate in-person and over the phone and in large groups; must be able to see; read documents and computer screens; sit; stand; walk; use hands and fingers; handle/feel objects; reach with hands and arms.

The employee must lift/move/carry up to 20 pounds including a mobile device and other required materials and load/unload a vehicle on a regular basis.

Travel: Travel is primarily local during the business day, although some out-of-area and overnight travel may be expected.

Required Education and Experience:

  • Associates degree in business management, executive administration, or related field.
  • Must have a minimum of one (1) year of experience in a project management role.

Preferred Education and Experience:

1. Bachelor’s degree in Business Management, Project Management, or related field.

2. Experience in Project coordination, or project management.

Additional Requirements:

1. Must have valid driver’s license, current insurance coverage and reliable transportation.

Specialized Skills:

1. Thorough knowledge of the project management, or other related grant management, preferred.

2. Ability to prepare clear and concise reports, excellent oral and written communications skills, and strong presentation skills.

3. Demonstrates sensitivity in relating to and working with persons of varying backgrounds, strengths, aptitudes, and abilities.

4. Commitment to working with shared leadership and cross-functional teams.

  • Participate in developing new initiatives to support the strategic direction of the organization.

6. Ability to perform job responsibilities with a high degree of time management, initiative, and independent judgment.

  • Present self in a professional manner; contribute to positive work environment through their interactions with others; brings a positive attitude to work.
