Purpose Statement
The job of Business Services Specialist-Workers’ Compensation was established for the purpose/s of providing a variety of specific functional support to the Business Services department with specific responsibility for administering the district’s Workers’ Compensation and various benefit related services. Responsibilities include assisting with all aspects of Workers’ Compensation; responding to inquiries and/or requests for data and/or reports; providing timely and accurate payroll production; coordinating assigned projects; establishing and maintaining accurate department records; and compiling and distributing a wide variety of materials and reports
This job reports to Coordinator Benefits and Wellness
Essential Functions
- Participates in department and team meetings, in-service trainings, workshops, etc. for the purpose of conveying and/or gathering information required to perform job functions.
- Supports the district’s employee injury case management and maintains documents for work related employee incidents including timely reporting of claims, arranging initial medical care for injured employees, tracking all follow up care and following restricted duty return to work processes.
- Processes semimonthly and monthly time and attendance and payroll transactions for the purpose of verifying that all related workers’ compensation payroll is accurate, timely and adheres to policy and regulations; also processes other payroll transactions.
- Collaborates with a variety of internal and external entities for the purpose of gathering information, making decisions and providing support.
- Maintains a variety of manual and electronic documents, files, and records for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines, legal requirements and for the purpose of ensuring information is current and appropriate procedures are maintained.
- Prepares a variety of correspondence, reports, and other materials for the purpose of documenting activities, providing written reference, and/or conveying information.
- Processes documents and materials for the purpose of completing transactions and complying with established rules, deadlines and guidelines.
- Prepares and distributes documents (e.g. new hire benefit enrollment packets, Section 125 packets, workers’ compensation processes and information, FMLA eligibility/ineligibility notifications, etc.).
- Process Health Savings Account (HSA) and Tax-Sheltered Annuities (TSA) terminations to District vendors, medical carrier reimbursement requests and monthly variable hourly ACA analysis.
- Assists with a variety of mailings and payroll checking for the purpose of ensuring accuracy.
- Supports the Benefits and Wellbeing Coordinator for the purpose of aiding with department functions and responsibilities.
- Responds to inquiries from a variety of internal and external parties for the purpose of providing information, resolving issues and making decisions.

- Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

Responsibility
Responsibilities include: working under limited supervision following standardized practices and/or methods; providing information and/or advising others; and tracking claims. The workload for this position is substantial, time-sensitive and requires frequent assistance to District employees and external entities. Utilization of some resources from other work units, both internal and external, is often required to perform the job's functions. There is a continual opportunity to have some impact on the organization’s services.
Work Environment
The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling; and significant fine finger dexterity. Generally the job requires 80% sitting,
10% walking, and 10% standing. This job is performed in a generally clean and healthy environment.
Experience: Job related experience within specialized field is required. Experience with workers’ compensation desirable.
