JOB SUMMARY

The Billing Assistant primarily works with the Office Manager and Office Assistant. The position is responsible for verifying client eligibility and benefits and obtaining authorizations for all scheduled treatments. The position is also responsible for billing for services rendered, including posting daily receipts, processing and sending claims, managing the denial process, and reviewing accounts receivable. In addition to billing responsibilities, this position is primarily responsible for the professional and efficient management of the evening operations of the front desk. Exceptional computer skills, the ability to multi-task, attention to detail, and a warm, welcoming, friendly nature are critical success factors.

ESSENTIAL JOB FUNCTIONS

  • Obtain complete and accurate insurance information and verify insurance by contacting clients/caregivers, physician offices, and applicable insurance/payor.
  • Verify and document all available health insurance benefits, including co-payment amounts and required pre-authorizations.
  • Ensure health insurance benefits are clearly communicated to the client’s primary caregiver(s) and/or responsible parties.
  • Answer questions from clients/caregiver(s), clerical staff, providers, and insurance companies.
  • Identify and resolve client billing complaints.
  • Monitor EFT posting, billing, and collection operations for compliance with established policies and procedures, regulations, and standards.
  • Process claims using Leg Up Farm’s web-based computer application.
  • Perform weekly billing for related organization.
  • Oversee denial management tasks.
  • Answer income calls and greet visitors and clients to Leg Up Farm in a friendly, professional, and courteous manner.
  • Notify service providers of canceled appointments at the earliest possible opportunity.
  • Reschedule canceled and/or missed client appointments.
  • Promptly respond to general inquiries and requests for service in accordance with established policies and procedures.
  • Check clients in and out upon entrance and departure of Leg Up Farm and collect applicable co-payments for scheduled appointments utilizing Leg Up Farm’s web-based computer application.
  • Maintain knowledge of building occupants and staff whereabouts for the efficient handling of incoming calls, system pages, and emergency evacuations.
  • Conduct daily inventory of swipe cards to maintain building security.
  • Reconcile payments for service on a daily basis to ensure accurate patient files and billing records are maintained.
  • Close the facility in accordance with established policies and procedures. Ensure company assets are secured before leaving the front desk unattended.
  • Perform scanning and faxing duties.
  • Maintain provider schedules.
  • Maintain patient forms.
  • Provide assistance to therapy and equine staff in crisis/emergency situations. This may include, but is not limited to, assisting in First Aid/CPR efforts, calling 911, letting emergency personnel into the building, guiding emergency personnel to the staff and/or client/family in need of assistance, etc.
Requirements:

JOB QUALIFICATIONS

Required:

  • High school diploma or general education degree (GED)
  • Associate degree or higher from specialized business or trade school in human services-related field
  • Completion of New Staff Orientation Trainings
  • Mandated Reporting and Child Abuse Training
  • First Aid & CPR/AED Certification
  • Current State Child Abuse History Clearance
  • Current State Police Record Check
  • Current Federal Criminal History Background Check (FBI Fingerprinting)
  • Compliance with Drug Testing & Satisfactory Drug Testing Results
  • Valid PA Driver's License; Proof of Automobile Registration and Required Insurance
  • Knowledge of general medical terminology and healthcare benefits
  • Knowledge of outpatient medical insurance and billing, CPT coding, and Medicaid reimbursement
  • Knowledge of Leg Up Farm Therapy Program policies and procedures
  • Knowledge of client’s right to privacy and protection and HIPAA guidelines
  • Intermediate Computer Literacy Skills including word processing, spreadsheets, and emails
  • Excellent skills in verbal and written communication, including telephone etiquette
  • Highly detail-oriented, able to work independently, multi-task, enjoy interfacing with other staff at all levels
  • Ability to respond to common inquiries or complaints from clients, regulatory agencies, or members of the business community.
  • Ability to communicate clearly and effectively, both orally and written
  • Ability to maintain strict confidentiality of protected health information (PHI) and proprietary business practices

Preferred:

  • One or more years experience in an outpatient healthcare clinic
  • Bilingual

This position is subject to a number of inherent risks associated with pediatric services which is not limited to bites, kicks, scratches, and hits.
