Job Overview:
Legacy Law Centers is seeking a detail-oriented and highly organized Estate Planning Paralegal to join our team in Leesburg, VA. The ideal candidate will have experience in estate planning, trust administration, and legal administrative support. This role requires excellent communication skills, the ability to manage multiple tasks efficiently, and a strong commitment to client service.
Key Responsibilities:
Estate Planning & Trust Administration:
- Assist attorneys in drafting estate planning documents, including wills, trusts, powers of attorney, and advance directives.
- Prepare trust administration documents, including funding instructions and asset transfer documentation.
- Communicate with clients, financial institutions, and other parties to gather necessary information and process legal documents.
- Conduct legal research and review relevant state and federal laws related to estate planning.
- Ensure all estate planning documents are executed properly and notarized as needed.
- Assist in preparing estate planning binders and organizing final legal documents for clients.
Legal Administrative Support:
- Organize and maintain client files, ensuring accuracy and compliance with legal procedures.
- Manage attorney calendars, schedule client meetings, and track deadlines.
- Draft and proofread legal correspondence, memos, and client letters.
- Maintain and update the firm's legal database and case management software.
- Assist in billing processes, including tracking billable hours and generating invoices.
- Handle incoming client inquiries, schedule consultations, and follow up on client requests.
- Coordinate document signings and notarization appointments.
- Perform general office administrative tasks, including filing, scanning, copying, and ordering office supplies.
Qualifications & Requirements:
- Experience as a paralegal or legal administrative assistant, preferably in estate planning or trust administration.
- Associate’s or Bachelor’s degree; Paralegal Certificate preferred.
- Strong knowledge of estate planning documents and procedures.
- Proficiency in Microsoft Office Suite and legal case management software.
- Exceptional attention to detail and strong organizational skills.
- Excellent written and verbal communication skills.
- Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment.
- Professional demeanor with the ability to handle confidential client information with discretion.
