Our Appleton office is seeking a full time Legal Assistant or Administrative Assistant. This candidate will be responsible for legal and administrative duties. We are an Estate Planning law firm, and this position will provide support to multiple attorneys and paralegals, and requires independent action in an environment that can be fast paced.
Description: Answering phones and screening calls, responding to client requests and questions, designing and ordering marketing materials, researching as requested, maintaining confidentiality, greeting clients and visitors, scheduling appointments, managing the calendars for multiple attorneys, maintaining client and case information in client database, scanning, managing faxes, opening and closing files, purchasing office supplies, managing phone system and messages, requesting building maintenance as needed, creating spreadsheets, typing letters, creating forms, proofreading all materials for typographical errors and accuracy, facilitating incoming and outgoing mail, printing and assembling legal documents, drafting deeds and other legal documents, creating invoices, entering payments received, paying bills, building client relationships, running errands as needed, coordinating events and education classes led by attorneys, assisting attorneys with personal tasks and appointments, and helping with other miscellaneous projects and tasks as needed.
SKILLS & QUALIFICATIONS
- Friendly, reliable, on time, and prepared
- Minimum of 1 to 3 years of administrative experience is a plus, but not required
- Exceptional work ethic and positive attitude
- Must be able to work in fast-paced environment with accuracy & speed
- Attention to detail is imperative, including proofreading your own work product
- Possess organizational and time management skills
- Proficient in in MS Office Applications
- Excellent oral and written communication skills
- Proficiency in English
- Self-motivated independent problem solver: you can take the initiative to use your resources and figure things out related to client and attorney needs, and willing to ask questions when necessary
- Positive attitude, pleasant to be around in the office and when communicating with clients
- Team player, willing to help others in the firm and believes no task is too small or unimportant
- Honest, ethical and will keep client information confidential
POSITION AND WORK HOURS
This position is a full-time position. The applicant would be expected to be available for work Monday through Friday.
