Description:
The Medical Receptionist will perform various duties on the phone and in person to assure the clinic has a steady and efficient system. The position requires all tasks and duties to be performed in an accurate, efficient and organized matter.
TASKS AND DUTIES:
- Welcoming patients and visitors in person or by answering the telephone
- Removing and placing phones from do not disturbed at their designated times
- Use the company electronic medical records systems to assure all patient information is up to date
- Check patients’ in and out for multiple providers and specialties
- Guide and help patients’ with registration and/or office forms for completion
- Obtaining and giving the essentials for medical procedures and testing
- Protects patients' rights by maintaining confidentiality of personal and financial information.
- Use different websites and verification systems for insurance eligibility
- Collect co-pays, visit payments, billing balance via cash, checks and card payments
- Provide receipts for the payment methods
- Schedule hospital admissions, tests, scans and outside appointments for patients
- Obtain external medical records following company protocol
- Use machines to scan, fax, copy and email documents
- Answer and transfer incoming and outgoing calls
- Schedule appointments for multiple offices, providers and specialties
- Fill out medical forms including prior authorization and referrals
- Maintains office inventory and equipment by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
- Schedule equipment service and repairs
- Other duties as assigned
RESPONSIBILITIES:
- Responsible to obtain keys to open and close offices at their designated time
- Providing assistance or personal care to others

- Travel to all office locations when requested by the clinical supervisors
KNOWLEDGE:
- Knowledge of administrative and clerical procedures and systems such as word processing systems, filing and records management systems, forms, and other office procedures
- Knowledge of computer hardware and software, including applications and clinical programming
- Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar
- Knowledge of principles and processes for providing customer and personal services including needs assessment techniques, quality service standards, and customer satisfaction evaluation techniques

Education and/or Experience:
- High School diploma or equivalent from an accredited institution
- CPR Certification
- Medical Office experience preferred
- Customer Service experience preferred
- Must be able to fluently speak Spanish
