The Administrative Assistant/Receptionist plays a crucial role in ensuring the smooth functioning of daily office operations. This position involves a combination of administrative responsibilities and front desk duties, requiring excellent organizational and interpersonal skills.

Key Responsibilities:

1. Front Desk Operations:

  • Greet and assist visitors, clients, and employees with a professional and welcoming demeanor.
  • Answer and direct incoming calls to the appropriate personnel.
  • Manage and maintain a tidy and organized reception area.

2. Administrative Support:

  • Provide administrative support to various departments as needed.
  • Schedule and coordinate appointments, meetings, and conference rooms.
  • Assist in preparing and distributing internal and external communications.

3. Document Management:

  • Handle incoming and outgoing mail and packages.
  • Maintain and organize office files, records, and documents.
  • Assist in data entry and record-keeping tasks.

4. Communication Liaison:

  • Act as a liaison between clients, employees, and management.
  • Communicate relevant information to appropriate parties promptly.
  • Manage email correspondence and ensure timely responses.

5. Calendar Management:

  • Assist in managing executive calendars and schedules.
  • Coordinate travel arrangements and accommodations for staff when necessary.

7. Event Coordination:

  • Assist in organizing company events, meetings, and conferences.
  • Coordinate logistics and ensure smooth execution of events.

8. Problem Solving:

  • Address and resolve routine inquiries and issues.
  • Escalate complex matters to the appropriate personnel.

Qualifications:

  • High school diploma or equivalent; additional education or certifications are a plus.
  • Proven experience as an administrative assistant or receptionist.
  • Proficient in Microsoft Office Suite and basic office equipment.
  • Strong organizational and multitasking skills.
  • Excellent verbal and written communication abilities.

Job Type: Part-time

Pay: $15.00 - $20.00 per hour

Expected hours: 20 – 32 per week
