Summary
Responsible for ensuring that the needs of the center, our clients, and the staff are met on a daily basis. Work in tandem with the CD, MD and Leadership Team to ensure care team members are supported to efficiently and effectively deliver high quality services to clients. This person will collaborate with team members and external partners to build, grow, and sustain the center and its services/ daily operations. This includes building trusted relationships with referring organizations, developing strong vendor management for center suppliers and operational support, and collaborating with other Managers and team members to develop and implement best practices.
Job Responsibilities Include but not limited to the following;
· Provide administrative oversight of the center
· Develop, manage, and ensure adherence to center policies and procedures, including Clinical care, safety, facility operations, emergency protocols, etc.
· Assist in recruit, hire, and onboard high-quality team
· Manage staff work schedules and ensure proper staffing levels to meet client capacity
· Drive learning and development activities for care team members and clients
· Own ongoing communications between facility staff, service providers, support services, community resources, and community members
· Handle concerns and grievances (or oversight)ensuring best-in-class customer experience for all clients and their support teams
· Proactively identify methods to improve program based on feedback from center clients, staff and support teams, including ideas for new processes, sober living engagement mechanisms and services to offer for improving recovery resources for long term success
· Develop and manage an organizational plan, ensuring that programs and services are consistent with the organization's mission, meeting each client’s ISP
· Establish, implement and manage a formal quality assurance program
· Oversee medical billing processes, negotiate single case agreement contracts with payer
· Manage center budgets, projections, and reporting to budget
· Oversee day-to-day maintenance of the center to ensure client and staff safety, including compliance with all applicable building, fire and safety codes
· Liaise with Department of Human Services and ensure any plans of correction, licensing deficiencies, and complaint reports are addressed in a timely and thorough manner
- Attend mandatory weekly staff meetings for client care continuity, education and implementing new processes
- Compliance with Behavioral Health, CARF, Joint Commission, DEA and all other regulatory agencies as required
- Assure patient care is meeting best practice standards daily
- Respond to all critical emergencies/codes to provide guidance, implement emergency protocols as required, notify Administrator
- Establish and maintain positive working relationships with local, state and federal authorities and community resources
- Accurately prepare and submit annual, quarterly, monthly, weekly and daily reports as requested and required
- Report abuse, maltreatment and patient grievances to Administrator and/or Admissions Manager without delay
- Comply with HIPAA and other mandates regarding client care and confidentiality
- Adhere to ethical obligations and duties regarding professional conduct with clients, colleagues and organizations
- Maintain knowledge of current trends and developments in the field by attending trainings, seminars and conferences
- Seek guidance and or remain knowledgeable of, and comply with, all applicable federal and state laws, as well as internal policies and procedures that apply to assigned duties
COO FUNCTIONS/ Job Duties ( as needed):
- Actively involved with conserving the physical and financial assets of the facility.
- Review and promptly responds to reports and recommendations from planning, regulating, and inspecting agencies and reports promptly to the chief executive officer.
- Work jointly with CFO, directors, managers and supervisors on preparing the facility budgets
- Provide for facility compliance with applicable laws and regulations.
- Work with management and administrative staff to provide internal controls for protecting human, physical, financial, and information resources.
- Review policies and procedures for facility to establish effective operations.
- Negotiate and update all facility lease agreements, as needed, and as assigned.
- Take an active role in the business development activities of programs and services.
- Establishes and maintains information and support systems.
- Supervise preparation to assure the facility’s compliance with joint commission, department of children and family services and other regulatory agencies.
- Assure appropriate representation on performance improvement team and at various functions (i.e., utilization review/quality improvement, safety, etc.)
- Function as chairperson of the staff education committee for recruitment of key management personnel.
- Direct the development of long-range, strategic planning goals and strategies for the company as a whole.
- Take responsibility for own professional growth and development.
- Demonstrates ability to perform other duties as assigned by the chief executive officer.
Job Requirements/Qualifications - PREFERRED
- Bachelor’s degree required; Masters degree preferred
- 2 years (if Master's degree) or 5 years (if Bachelor's degree) of supervisory experience in a substance use disorder (SUD) facility
- Experience leading teams and providing supervision to Administrative and Clinical roles
- Talented at solving issues with available resources
- Skilled at creating, implementing, and improving policies and procedures
- Knowledge of Substance abuse practices, general counseling, HIPAA & ethics
- Basic knowledge of all Microsoft products, EHR and medical billing a plus
- Commitment to client empowerment and growth, human rights, and community integration
- Familiar with Ohio State REGULATIONS/STATUTES Joint Commission requirements; ASAM knowledge a plus and MEDICAID requirements
- Exceptional organizational, interpersonal, communication and time-management skills
- Must possess the ability to effectively manage and motivate staff
- Must possess the ability to positively interact with team members, clients, family members, visitors, government agencies and the general public
· Knowledge and understanding of Medicaid, Private Pay and Third Party reimbursement a plus
