Job Summary
The Office Administrator is responsible for managing the day-to-day administrative operations of the condominium association. This role involves coordinating with residents, vendors, and the management team to ensure smooth and efficient office operations.
Key Responsibilities
- Resident Services:
- Serve as the primary point of contact for residents.
- Address resident inquiries and concerns promptly.
- Assist with the move-in and move-out process.
- Issue Access Devices
- Administrative Duties:
- Manage office communications, including phone calls, emails, and mail.
- Schedule and coordinate meetings, appointments, and events.
- Maintain office supplies and equipment.
- Vendor Coordination:
- Liaise with vendors and service providers.
- Schedule and oversee maintenance and repair work, in addition to the maintenance technician.
- Ensure compliance with contracts and service agreements as directed by the Property Manager.
- Record Keeping:
- Maintain accurate and organized records of all association activities.
- Manage filing systems, (digital).
- Communication:
- Prepare and distribute newsletters, notices, and other communications to residents.
- Update the association's website.
- Coordinate with the management team to ensure consistent communication.
Qualifications:
- High school diploma or equivalent
- Proven experience in office administration or a related field.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and office management software.
- Ability to work independently and as part of a team.
- Attention to detail and problem-solving skills.
- Ability to sit for extended periods.
- Ability to lift and carry office supplies and equipment.
