Join our Team! Leland Management is seeking an Administrative Assistant for one of our communities in the Palm Coast, FL area. The position is full-time (Monday thru Friday from 9 : 00am to 5 : 00pm) with a competitive salary and excellent benefits.

Overview :

Attend to residents and Board members and deal with inquiries on the phone, email, and face to face; pleasant personality in handling all interactions. This is a full-time position with benefits.

Role Responsibilities :

  • Receive and welcome visitors (Residents, Buyers, and Realtors) to the onsite Matanzas Shores office by providing excellent customer service. Answer and respond to their queries.
  • Answer incoming calls to the onsite office by providing excellent customer service. Answer and respond to caller requests.
  • Maintain owner records for Association, including filing of registration records, leases etc.
  • Maintain Community Gate Software – add / remove access codes and remotes, update resident directory with move-ins and move-outs, and foreclosures, coordinate gate repairs with Community Association Manager and vendors.
  • Maintain up to data information packets for new buyers and tenants.
  • Maintain Calendar for Monthly Events.
  • Process incoming and outgoing mail. Distribute accordingly.
  • Maintain and file copies of invoices in vendor files.
  • Prepare deposits by categorizing and recording checks on firms for Kayaks, RFI’s, Miscellaneous checks and cash and send to Accounting Dept in Orlando.
  • Coordinate rental reservations for the Community Clubhouse includes collection of fees and reservation information.
  • Assist in other tasks or projects as requested by Board of Directors, Community Association Manager and / or Supervisor.
  • Performs other administrative or office duties as required or as assigned.

Requirements :

Required Skills and Qualifications :

  • Proficient in MS Office Applications such as Word, Excel, Access, among others.
  • Caliber
  • Excellent in the English language.
  • Multi-tasking capabilities
