Job Purpose
The Accounting and Data Entry Clerk will provide essential support to the accounting team. This role involves performing data entry tasks related to project billing, accounts payable, accounts receivable, and general administrative duties. This is an entry level, hourly, in office, position that offers the opportunity to grow within the company and gain valuable experience in the accounting and contracting fields.

Duties and Responsibilities
- Enter project-related financial data (invoices, receipts, purchase orders) into accounting software with a high degree of accuracy.
- Assist with processing accounts payable and receivable, ensuring timely and correct payments to and from vendors and customers.
- Help prepare and track job cost reports, ensuring all project costs are properly documented and allocated.
- Review and reconcile vendor invoices, statements, and payments, escalating discrepancies as necessary.
- Assist with tracking and updating project sales and job status.
- Generate job related financial reports related to project budgets and expenses within the accounting software.
- Track and obtain subcontractor certificates of insurance
- Perform routine clerical tasks such as filing, scanning, and organizing project documents.
- Support the accounting team with month-end and year-end closing procedures.
- Communicate with field staff and project managers to ensure financial data is accurate and up to date.
- Assist with other general office duties as needed.
- All other duties assigned by your manager.
Required Qualifications
- High school diploma or equivalent.
- Basic understanding of accounting principles and financial recordkeeping.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Strong attention to detail and accuracy in data entry.
- Ability to handle confidential financial information responsibly.
- Strong organizational skills and the ability to prioritize tasks.
- Good written and verbal communication skills.
- Ability to work independently and as part of a team.
Preferred Qualifications
- Previous experience in an accounting or data entry role, ideally within the construction or electrical industry.
- Familiarity with accounting software (e.g., Spectrum, QuickBooks, or similar).
- Knowledge of basic construction accounting concepts, such as job costing and billing processes.
- Familiarity with the electrical contracting industry is a plus.
- Ability to learn new software and systems quickly.
Physical Requirements and Work Conditions
Physical demands within this position include but are not limited to: frequent standing, sitting, walking, listening, focusing, using depth perception, using office equipment and the use of hands to handle or touch objects. Long periods of time spent on the computer- typing, using the telephone, stooping, bending, kneeling, and reaching above shoulders.
