PBX Associate
Lemontree Healthcare is seeking a professional and detail-oriented PBX Operator to join our team. This role is crucial for ensuring efficient communication within the organization, providing excellent customer service, and supporting the daily operations of our healthcare facility.
As a PBX Operator, you will be responsible for managing all incoming calls, directing them to the appropriate departments or personnel, and assisting with patient inquiries in a friendly, professional manner. You will be the first point of contact for many of our patients and their families, making this a vital role in ensuring positive experiences with Lemontree Healthcare.
Key Responsibilities:
- Answer and route incoming calls to the appropriate departments, staff, or voicemail system.
- Provide information to callers regarding Lemontree Healthcare’s services, policies, and procedures.
- Transfer urgent calls to the correct healthcare professionals promptly and efficiently.
- Monitor and maintain the PBX system, troubleshooting any technical issues as needed.
- Provide administrative support as needed, such as scheduling appointments and taking messages for medical staff.
- Assist in the coordination of patient services, including following up on patient inquiries and directing calls to the proper department.
- Ensure proper documentation of call logs, messages, and other communications as required.
- Handle emergency calls and ensure swift communication of urgent information to relevant staff.
- Ensure confidentiality and privacy of patient information in accordance with HIPAA regulations.
- Participate in ongoing training and professional development related to PBX systems and customer service.
Qualifications:
- High school diploma or equivalent required; some college coursework or training in healthcare administration or telecommunications preferred.
- Previous experience as a PBX Operator or in a healthcare setting preferred but not required.
- Excellent verbal and written communication skills.
- Strong customer service skills with a compassionate and friendly demeanor.
- Ability to multitask and remain calm in high-pressure situations.
- Proficient in using telephone systems, computers, and basic office software.
- Knowledge of HIPAA guidelines and confidentiality requirements.
- Strong attention to detail and organizational skills.
Physical Requirements:
- Ability to sit for extended periods and handle repetitive tasks.
- Ability to communicate effectively with staff, patients, and external callers.
- Must be able to operate a computer, telephone system, and related equipment.
