The Purchasing Agent / Buyer position is critical to the growth and success of STAN'S HVAC / Plumbing Teams! As a Purchasing Agent, you will work with the Warehouse and operations team to supervise and coordinate the buying of HVAC/Plumbing products, materials, and services professionally. Your responsibilities also include monitoring purchasing expenses, vendor pricing, parts expediting, and keeping track of accounts/contracts.
??Under the direction of the Warehouse Manager and the?Warehouse Supervisor,?the Purchasing Agent will: support our companys warehouse operations. This position will manage inventory and support purchasing operations. ?
ESSENTIAL JOB FUNCTIONS:
??Inventory Management:

?Conduct regular audits and cycle counts to ensure inventory accuracy.

Process Warranty's

?Monitor stock levels and promptly report discrepancies to management.

?Maintain organized storage areas for efficient product access.
?Purchasing Support:
-
?Assist in placing orders for inventory replenishment.

?Collaborate with vendors to verify product availability and delivery schedules.

?Track incoming shipments and ensure timely processing.
?Data Entry and Reporting:

?Update inventory management systems with precise stock information.

Establishing and Monitoring Min / Max levels to support business needs, and to scale for growth

?Generate reports on inventory levels, trends, and purchasing requirements.
?Shipping and Receiving:

?Support the receiving process by inspecting incoming goods for quality and accuracy.

Monitor Return-to-Vendor and Credit Recoveries

?Prepare items for shipment, ensuring proper packaging and documentation.
?Health and Safety Compliance:

?Follow safety protocols and best practices within the warehouse.

?Report any safety concerns or incidents to management immediately

?Ensure safety best practices are followed in the field.

Essential Job Functions:
- Execute sourcing of materials to meet cost, timing and quality objectives.
- Partner with business unit leaders and provide excellent service in support of company goals.
- Maintenance of vendor price lists and preferred supplier relationships
- Vendor price alignment with companys profit target
- Prepare purchase orders by verifying specifications and price; obtaining recommendations from suppliers for substitute items; obtaining approval from requisitioning department.
- Verify purchase orders by comparing items requested to take-off sheets; clarifying unclear items; and recommending alternatives.
- Verify vendor acknowledgements and ensure timely delivery.
- Maintain good and positive working relationships with distributors, suppliers, and internal departments.
- Collaborate with other departments to resolve quantity, quality, and supply issues in a timely and efficient manner.
- Review and resolve back orders, warranty parts and returns.
Qualifications
- 3-5 years experience in tactical procurement, buying and expediting of service / warehouse parts
- 2 -year experience preferred in purchasing for HVAC or similar industry
- Knowledge of the basic principles of inventory management
- Service Titan experience is preferred.
- Applicants with previous experience in a mechanical field such as HVAC, plumbing, or automotive service are preferred.
- Strong Microsoft Excel, Word, and Outlook proficiency
- High energy with the ability to manage competing priorities.
- Analytical problem solver with strong organizational skills
- Detail-oriented, well-organized, and committed to driving results.
- Excellent verbal and written communication skills and comfortable operating in a matrix organization.
- Familiarity with procure-to-pay processes (i.e., PO generation, Approval, Supplier Confirmation, Expediting and Receiving)
- Ability to handle high volume during peak demand times.
ADDITIONAL QUALIFICATIONS/ABILITIES:

??High school diploma or equivalent; additional education in supply chain management or a related field is a plus.

?Previous experience in a warehouse or inventory role, preferably in Plumbing, HVAC, or Electric sectors.

?Familiarity with inventory management software and the Microsoft Office Suite.

?Assist Fleet Manager; basic automotive knowledge is a plus.

EDUCATION/EXPERIENCE REQUIREMENTS:
REQUIRED:

3-5 years experience as a Warehouse Associate in Plumbing & HVAC trades (preferred)

Forklift Certification a plus
