General Statement of Duties:
Under direct supervision, this entry-level position performs a variety of clerical functions involved in the processing of court cases. Activities include: typing, filing, operating computer terminals, posting data, collecting and receipting monies, scheduling appointments, and serving as a receptionist. Taking and transcribing dictation, providing general information, and responding to routine inquiries. Also answers the telephone and provides basic case status information, disposition, and general court policy and procedure within prescribed authority limits.

Supervision Received: Work is performed under the general supervision of the Court Administrator/Magistrate or designee.

Essential Duties and Responsibilities: An employee in this class may be called upon to do any or all of the following: These examples do not include all of the tasks which an employee may be expected to perform.

· Perform receptionist tasks such as answering and routing telephone calls, greeting visitors, taking messages, providing general information, and maintaining appointment registers and records of scheduled appointments.

· Respond to routine inquiries, directing calls to the appropriate source.

· Provide basic information to law enforcement agencies, defendants, attorneys, and court patrons regarding case status, disposition, and general court policy and procedure.

· Type a variety of materials, from straight copies to basic information extracted from other documents. Includes: forms, notices, discharges, bench warrants, correspondence, files, term jackets, and other documents.

· File forms, records, reports, and other materials following an established filing system.

· Include notarizing affidavits as authorized and required.

· Enter case information on file jackets and index cards.

· Retrieves file information and conduct file searches.

· May perform specialized functions such as: typing witness subpoenas, calculating witness mileage and fees, and preparing abstracts and suspensions as instructed for forwarding to the Secretary of State.

· Regularly accept and receive money.

· Operate computerized cash register, receiving and recording payments made in person or by mail for fines, costs and fees.

· Perform a variety of other general clerical tasks, such as assisting with mailings, opening and distributing mail, requisitioning supplies and printed matter, making copies, and related activities.

· Operate computer terminal to enter, locate, check, retrieve, or verify information.

· May substitute for other clerical personnel as required.

· Preform related work as required.

CIVIL

· Provide counter and telephone services, file papers, dispense forms, and take payment for civil, small claims, and summary proceedings.

· Assist members of the public by answering routine inquiries in accordance with established procedures, check file information, assisting in completing forms and related activities.

· Prepare file folders for new cases, making appropriate computer entry.

· Pull files for cases scheduled each week, prepare them for delivery to the judge’s office.

· Ensure that all data is entered into the computer system.

· Provide certified mail service for small claims monitoring. Reschedule court dates and initiate law enforcement personnel service if necessary.

· Prepare small claim judgements for judicial signature. Includes making appropriate computer entries and distribution to the proper parties.

· Make computer entries of filed documents, filing hard copies in appropriate file folders. Includes: service, garnishments, motions, affidavits, and other documentation.

· Make computer entries of defaults, judgments satisfactions, and consent or trial judgments. Includes: requesting a register of actions, matching file folders, and enclosing files.

· Match financial receipts with appropriate cases or papers. Distribute documents to proper files and record all filings.

· Type materials, such as adjournments, pretrial notices, and trial notices. Ensure mailing to correct parties. Return true copies of orders, discovery subpoenas, and other documents to the proper parties.

· Transfer small claims cases to the general civil docket upon demand or when circumstances require transfer.

Desirable Education, Experience and/or Qualifications: An employee in this class, upon appointment should have the equivalent of the following training, qualifications and/or experience.

· High school diploma, or its equivalent.

· Three (3) to six (6) months of experience is required.

· Computer skills are necessary to effectively utilize word processing, spreadsheet and accounting software systems and the ability to be trained on a specific software program.

· Ability to work effectively with officials, attorneys, other employees and the general public.

· Ability to pass a background check and consent to fingerprinting as required by MCL 15.651-15.654.

Working Conditions and Physical Abilities:

· Work is primarily indoors and requires sitting for extended periods.

· Must be able to lift and carry up to 25 pounds.

· Must be able to hear and speak over the phone and in one-on-one communication needs.

· Must be able to see, hear and speak effectively and without limitations.

· Must be able to stand or sit in one spot for long periods of time, moving arms, hands, back and entire body.
